Job Overview: The Michigan Association of Counties/Association Management Solutions seeks a dynamic and detail-oriented Event Coordinator to join our team. This position is responsible for managing events and services for multiple associations throughout Michigan. The role involves coordinating logistics, maintaining event records, and serving as a point of contact for vendors and participants. The position requires travel and overnight stays for statewide events and reports directly to the Director of Member Events. While the role is primarily based in our office in Lansing, there are limited options for remote work.
Key Responsibilities:
Assist in the planning and execution of association meetings, conferences, workshops, and special events.
Coordinate event logistics, including catering, audiovisual setup, transportation, and accommodations.
Serve as a primary point of contact for vendors and participants, ensuring clear communication and timely resolution of inquiries.
Maintain event records, planning documents, and budgets; track expenses and provide regular updates to the Director of Member Events.
Manage registration processes, on-site registration activities, and coordination of travel and lodging arrangements for staff, speakers, and guests.
Prepare event materials, including name badges, signage, agendas, and presentation materials.
Shop for event supplies and coordinate food orders for board meetings and other events as needed.
Position will provide support to MAC’s communication and marketing efforts as needed.
Work Environment:
Primarily in-office workstation located in Lansing

Qualifications:
College degree in hospitality management or a related field, and/or meeting/event planning experience in an association setting preferred.
Proven ability to multitask and manage multiple projects simultaneously.
Strong organizational and communication skills.
Ability to travel frequently within Michigan and stay overnight as needed.
Experience with budgeting and expense tracking.
Proficiency in event management software and Microsoft Office Suite.
Experience with graphic design software preferred.
