The Programs and Events Coordinator plays a vital role in supporting the planning, execution, and post-production of PMI’s virtual and in-person programs and events. This role requires strong organizational, communication, and technical skills to ensure a seamless experience for speakers, attendees, and internal teams. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, collaborative environment.
Key Responsibilities:
Speaker & Program Coordination:
Conduct research and outreach to identify and recruit high-quality speakers.
Facilitate speaker interviews and manage the selection process.
Create, manage, and track speaker agreements and associated deliverables.
Serve as the primary point of contact for speaker communications and documentation.
Event Technology & Production:
Build and manage program registration using CRM systems (e.g., Membee).
Set up virtual programs using platforms like GoToWebinar (GTW) and RingCentral.
Schedule and facilitate practice sessions and technical checks with speakers.
Host and produce virtual events, ensuring smooth execution on event day.
Edit and revise virtual event recordings for post-event use.
Marketing & Communications Support:
Coordinate with Marketing, Web, and Graphic Design teams to ensure timely development of promotional materials.
Review and manage marketing and event collateral to align with program goals and branding.
Survey & Data Management:
Design and deploy post-event surveys using SurveyMonkey.
Track and analyze feedback to support continuous program improvement.
Materials & AV Management:
Co-manage attendee materials, ensuring they are accurate and accessible.
Collaborate on audiovisual needs for both virtual and in-person events.
In-Person Events:
Support planning and execution of major event PMI25 Manufacturing Success Conference in Chicago (Nov 3–6), including on-site coordination, AV management, and speaker support.
Experience in event planning, speaker coordination, and program management.
Familiarity with CRM systems (e.g., Membee) and virtual platforms (e.g., GTW, RingCentral).
Strong organizational, written, and verbal communication skills.
Ability to manage multiple tasks and deadlines effectively.
Proficiency with event tools such as SurveyMonkey, and basic video editing software.
Collaborative mindset with experience working across teams and vendors.
