Accounting Support Specialist, Texas Rural Water Association
POSITION SUMMARY:
The Accounting Support Specialist supports the Finance Director who is responsible for all accounting and financial functions for TRWA. Duties include processing Accounts Payable vouchers and expense reports, preparing deposits, reconciling federal employee travel activity, preparing customer invoices and performing related tasks. All work is performed with a direct reflection of the mission and values of the organization.
ESSENTIAL FUNCTIONS:
· Process accounts payable weekly which includes summarizing and coding online credit card transactions for reconciliation with monthly statement.
· Prepare customer invoices.
· Record monthly journal entry for credit card receipts.
· Prepare weekly bank deposits for checks received and prepare deposit journal entry(ies).
· Recalculate/verify federal programs travel expense reports, matching expenses with receipts/invoices, which leads to preparation of monthly federal programs travel journal entry.
· Assist Finance Director in meeting financial reporting deadlines.
OTHER ACCOUNTABILITIES:
· Prepare account analyses and reconcile with Membership records.
· Maintain vendor payables files and employee federal programs travel expense files.
· Maintain fixed asset inventory, assist with annual equipment/furniture inventory and provide updates to insurance company.
· Manage postage machine and copy machine leases, troubleshoot machine failures, call for repair when necessary.
· Serve as primary contact for cell phone account, toll tag account and mobile phone provider, including solicitation of new contracts when necessary.
· Maintain vehicle registration records.
· Serve as backup for office phone coverage and member assistance.
· Assist with the annual audit.
· Perform other duties as assigned by the Finance Director.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
· Daily use of computer and telephone.
· Lift and carry objects up to 25 pounds.
· Working at the headquarters office in Austin, Texas is preferred; however, a hybrid schedule with two days of remote work per week may be approved by the Finance Director.
EDUCATION AND EXPERIENCE:
· High school diploma required.
· Associate or bachelor’s degree preferred.
· 3-5 years related work experience is preferred.
KNOWLEDGE, SKILLS AND ABILITIES:
· Strong written and verbal communication skills.
· Excellent time management, organization, and attention to detail, with the ability to prioritize.
· Ability to work independently and collaboratively with others.
· Ability to resolve issues with vendors in an efficient, timely manner.
· Proficiency with MS Excel, Word, Outlook, and ten-key by touch.
· Proven ability to handle confidential information with discretion.
COMPENSATION AND BENEFITS
Salary range is $55,000-$65,000 or commensurate with qualifications and experience for the successful candidate. In addition, a competitive benefits package will be provided, including 100% medical and dental coverage as well as 50% for dependents, 401K contribution of 7% of salary after one year, and paid time off. This is a full-time position.
