The American Museum of Natural History is one of the world's preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.
The Advancement department is seeking a full-time Director of Advancement Services to manage financial, database, gift administration and administrative operations. The Director is responsible for comprehensive fundraising and financial tracking and reporting for the department, in collaboration with the Museum's office of Budget and Financial Planning. They manage the department's fundraising database system, including system development, training, data entry, analytics and reporting, working closely with the IT and Institutional Research, Planning, and Analytics (IRPA) departments. They lead departmental administrative functions, working with colleagues to support hiring, purchasing, contract administration and policy compliance efforts. Working with the Vice President, the Director creates and implements efficient and data-informed processes, practices and systems to support the department.
The ideal candidate is positive, collaborative, meticulous, thinks strategically, is skilled at balancing multiple projects and is able to maintain confidentiality.
Job duties include, but are not limited to:
Develop and implement financial reporting for the Advancement department. Analyze, forecast and make recommendations for current and future departmental budget expenditures, including those required for one-time or special projects. Perform monthly verifications and reconciliations and generate monthly financial and budget reports.
Working collaboratively with leadership and the office of Budget and Financial Planning, help to set revenue goals in alignment with giving and engagement priorities. Track fundraising processes and reconcile fundraising revenue.
Supervise the management of the Raiser's Edge database for philanthropic gifts. Play a key role in the transition to NXT and associated integrations. Supervise data reporting and analytics, configuring reports and designing database dashboards. Ensure data maintenance and integrity. Ensure compliance with Museum practices for data entry and develop new systems where necessary.
Work with the office of Budget and Financial Planning on gift processing and gift and pledge accounting and allocation. Ensure maintenance of accurate and comprehensive gift records. Ensure compliance with Museum policies and practices for donor, gift and fund record management. Supervise the processing and acknowledgment of gifts, pledge payments, matching gifts and other contributions from philanthropic funding sources. Supervise the gift agreement process. Ensure compliance with the Museum's policy for gift and pledge acknowledgment, including tax language.
Manage the department's administrative activities. Review and approve expenditure documents, including vouchers, requisitions, contracts and p-card expense reports and personnel documents. Interpret, review and update departmental policies and procedures to ensure compliance, taking corrective action as needed. Optimize the use of technology tools to streamline operational processes.
The expected salary range for the Director, Advancement Services is $155,000/annual - $165,000/annual. The AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.
Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
