If so, the American Academy of Pediatrics (AAP) is seeking a Development Project Coordinator to provide administrative and project support for AAP fundraising activities, including managing documents, preparing reports and presentations, managing calendar appointments for department leadership, coordinating meeting logistics and associated travel arrangements, and tracking work projects. This individual will also enter and maintain data into donor database, conducting regular audits and coordinating updates with AAP IT staff.
Hours: 8:00am – 4:30pm, with a 1-hour lunch.
Qualifications needed:
Bachelor’s degree in communication, business administration, or related field required, or an equivalent combination of relevant education and work experience.
At least two years related general administrative and/or project coordination experience required, including database management and coordinating calendar appointments and/or meeting arrangements. Experience with Salesforce software is highly desirable. Experience in a fundraising environment or nonprofit preferred.
Excellent organizational, interpersonal, time management, verbal/written communication, proofreading, and critical thinking skills required, as well as the ability to maintain confidentiality of donor information.
Some overtime and evening/weekend work required, as well as the need for flexibility in arranging work schedule to accommodate availability of members and external partners.
Some tasks include:
Coordinate meeting and travel arrangements for Chief Development Officer (CDO) and Development management team. Work with donors/prospects and their support staff to coordinate dates, logistics, agendas and all relevant details of on-site and off-site meetings.
Provide administrative support to the CDO and their direct reports, including creating reports and presentations.
Respond to all inquiries from sponsors, donors, members, staff, and the public in a timely, professional, and service-oriented manner.
Support the CDO with email correspondence and inbox management.
Contribute to enhancing and maintaining a robust and accurate donor database, ensuring data integrity through ongoing data audit and cleansing, duplicate record management, and monthly updates from IT systems. Adhere to established data entry standards and provide training to Development staff on system usage.

A reasonable estimate of the current base pay range for this position is $56,691.60 - $59,845.50. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, and organizational policies.
