Job Description:
Maintains constituent records and actively supports the creation and management of data, including the preparation of custom and ad hoc reports, spreadsheets, graphs, charts and presentations. Â
Prepares special reports and summaries and compiles data, statistics, and other information as needed using various sources. Â
Supports the prospect activities of the Parent Philanthropy team by assisting gift officers and the Executive Director in tracking portfolio health and suggesting next steps for key prospects. Â
Crafts prospect, visit, and event briefs for University leadership as needed. Â
Circulates agendas and notes from parent team meetings.
Updates the CRM system with accurate notes from CPC volunteer leaders and the Executive Director.Â
Tracks and reports on annual progress qualifying and advancing the Collegeâ™s parent prospect pool.Â
Maintains the Executive Directorâ™s calendar, exercising considerable discretion and judgment as to priorities and effective use of the EDâ™s time, and handles processing of the EDâ™s expenses and travel as needed.Â
Assists in the day-to-day operations of the College Parent Council such as tracking new families joining the Council and sending welcome emails and gifts;Â and keeping the Council website and directory updated.Â
Reports on key Council metrics to the parent team and College leadership.
Attends meetings with Council leadership and circulates agendas and notes.Â
Assists in running Council events.
Creates and sends invites, reminders, and follow-up emails for events.
Manages event data, such as invite lists, registration lists, and attendance lists.
Updates and manages event trackers and project plans. Alongside the Associate Director, ensures that preparations are proceeding on schedule.
Attends Council events and supports on-site.Â
Stays informed of College programs and initiatives.Â
Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions.Â
Has a moderate/high level of authority in drafting informational and marketing materials for review for assigned programs. Assists in developing support materials for specific fundraising activities.
Plans somewhat complex activities of volunteer and support groups. Recruits members and provides guidance and support to leadership activities.
Performs other related work as needed.
Preferred Qualifications
Education:Â
Bachelorâ™s or advanced degree.Â
Experience:Â
Professional working experience in nonprofit management, development, alumni relations, marketing, public relations, sales or similar fields.Â
Event, meeting, conference planning or similar work experience.Â
Project management experience.Â
Technical Skills or Knowledge:
Demonstrated skill and knowledge of, or ability to learn quickly Salesforce CRM; Marketo email marketing software; and Cvent event management software.Â
Demonstrated skill and knowledge of, or ability to learn quickly, Microsoft Windows computer environment, including Microsoft Outlook, Word, Excel, and PowerPoint.Â
Manage and interpret data in Excel.Â

Working ConditionsÂ
This position has a hybrid work schedule which includes three days in-office per week.Â
