Florida Theatre Performing Arts Center, Inc. is the nonprofit corporation managing and programming the historic Florida Theatre in downtown Jacksonville, Florida. In the up to 2,000-seat category, the 1,864-seat Florida Theatre is consistently ranked as one of the Top 5 most attended theatres in the nation by Pollstar, and a Top Stop in Florida by VenuesNow. The Florida Theatre provides the 12th largest city in the U.S. with 200 live performances and events annually.
Applications are welcomed for the position of Event Coordinator. Reporting to the VP of Programming, the Event Coordinator arranges and facilitates the logistical aspects of every event based on the contractual terms and the budget. This includes serving as the advance point of contact, scheduling, local rentals, runners, VIP and hospitality.
Roles and Responsibilities
Serve as the advance point of contact for the venue with incoming tours, shows and artists two to four weeks prior to each event/performance.
Send out a company-wide advance document with all pertinent show information in a timely manner, including the show day schedule, run of show schedule, advance contacts, catering needs, runner and rental requirements, etc.
Coordinate labor calls with the Technical Director per the show requirements and union contract.
Ensure that the show schedule is followed on the day of show based on the union contract and venue parameters.
Hire and supervise runners, VIP assistants, and other non-union event personnel.
Serve as the point of contact for all on-site VIP activities. Work with the ticketing and marketing departments to ensure the details are communicated to the patrons in a timely manner.
Work with the Technical Director, Audio Supervisor, Video Supervisor and Lighting Supervisor to facilitate any rentals needed, such as sound, lights, runner vehicles, forklifts, etc.
Facilitate all hospitality needs for each event, either working with the outside caterer for larger events, or shopping for dressing room stock for smaller events with minimal needs.
Serve as the onsite contact on the day of show, from load in to load out, as needed. Help tour personnel assign dressing rooms, and find catering.
Establish VIP and merchandise locations, and facilitate the setup of tables, backdrops, etc.
Assist the programming department with show settlements as needed.
Cover offsite shows as a “Promoter Rep” as needed.
Education and Experience
Bachelor’s degree in a related field is preferred, but not required.
3 or more years of experience in the commercial concert and/or nonprofit performing arts industries is required.
