The Lovett School, an independent K-12 day school in Atlanta, GA, seeks a full-time, advancement operations manager to provide administrative support to the entire Advancement office. The workload of the position is restricted to that assigned by the CAO. The Operations Manager ensures the daily affairs of the school runs efficiently and timely. The manager organizes, directs and performs varied tasks with confidentiality and sensitivity. This role fulfills wide-ranging responsibilities and is pivotal in facilitating the daily operations of the office.
Reports to: Chief Advancement Officer
Primary Responsibilities:
Assistant to the Chief Advancement Officer (CAO)
Supports the Advancement office with ordering supplies and other office need
Manages onboarding schedule for new employees to the department
Creates a structure for Advancement team meetings, i.e., meeting agendas
Schedules Advancement team retreats, schedule and locate meeting spaces for both internal and external activities
Oversees and manages all Advancement office operating budgets
Process all invoices for payment & reconciliations monthly for business office
Approval manager all department credit card purchases
Works with CAO and Head of School office to ensure stewardship calls & emails take place
Partners with Head of School’s Executive Assistant to schedule donor meeting for both Head of School and CAO
Meet and greet donors and other visitors, i.e., board members and other stakeholders for meetings with CAO
Acts as a facilitator to ensure that involvement in projects or decision-making processes takes place at key times, where CAO input and authority are most needed
Assists with Advancement events including utilizing the Events Management function in Raiser’s Edge
Manages the Advancement office team calendar
Manages staff birthday celebrations, holiday luncheon and other office functions for office morale
Attends Advancement and Campaign Committee meetings and take minutes
Prepare for and follow up on meetings (Advancement & Campaign committee meetings), type up minutes and upload them to board portal
Reacts to the day-to-day needs while looking ahead and prepare months/weeks/days in advance, internal and external communications
Manages performance evaluation and self-evaluation template for the Advancement Office
Position Requirements
Bachelor’s Degree.
Experience working in the development field, at a school or another nonprofit organization.
Proficiency with Raiser’s Edge and Google Suite preferred.
Proficiency in Microsoft Office applications required.
Ability to prioritize work and the flexibility to change directions as the job dictates.
Maintain quality of detailed work while meeting deadlines.
High degree of organizational effectiveness and attention to detail.
Ability to keep confidential information private and handle such information discreetly.
Communicate effectively with various types of people – other staff and volunteers.
At various times throughout the year, the employee is required to work outside of regular business hours for various job-related functions. The employee will receive as much advance notification as possible for these events and is required to attend them as part of their essential duties.
