TITLE:Assistant Director of Development (ADD)
REPORTS TO:Director of Development (DOD) and Executive Director (ED)
POSITION OVERVIEW: The Assistant Director of Development will be directly responsible for day-to-day management of Development systems, including gift processing, data entry, reporting, project management, and administrative support. This individual will play a key role in executing, evaluating, and improving the effectiveness of the orchestra’s fundraising activities.
PRIMARY DUTIES AND RESPONSIBILITIES:
Oversee accurate and efficient development operation systems with guidance from executive leadership. Proactively alert leadership to areas of weakness and opportunities for improvement.
Support DOD with scheduling and correspondence.
Follow established standard procedures for maintenance and integrity of the donor database (PatronManager/Salesforce). Ensure all donor and gift data is entered accurately and swiftly into database. Create and maintain online donation processing forms and email confirmation templates.
Process transactions and manage campaign pledges, oversee fulfillment of donor benefits and timely gift acknowledgment letters.
Manage and regularly update prospect trackers, create weekly/monthly revenue and campaign reports. Regularly analyze metrics and report on giving trends, strengths, and weaknesses.
Process, track, and follow up on development invoices (Accounts Payable and Accounts Receivable). Create, update, forecast, and reconcile campaign revenue and expense budgets with oversight from executive leadership.
Collaborate on and execute sophisticated annual fundraising campaign timelines.
Create annual gift reports for board members and key stakeholders.
Lead development mailings, collaborate with mailing house, produce and process mailing lists, conduct mail merge, oversee printing, and obtain signatures. Anticipate and maintain adequate stock of mailing supplies and stationery.
Coordinate development events including cultivation, stewardship, post-concert receptions, board special events, annual gala and cabaret fundraisers.
Work with DOD to manage an effective Development Committee.
Research new prospects. Actively engage constituents with a goal of gaining philanthropic support beyond purchasing tickets. Work with DOD in developing cultivation ladder to evolve relationships with new and existing donors.
Generate accurate donor listings and adhere to deadlines for concert Playbills and event media.
Prepare corporate and gala decks and event slideshows, and board meeting presentations.
Lead online auction initiatives; solicit in-kind donations, coordinate auction fulfillment, maintain positive and productive relationships with in-kind donors.
QUALIFICATIONS:
Minimum of 5-8 years of successful administrative experience in non-profit arts Development.
Experience with back-office functions related to gift processing, data entry, reporting, and Development analytics.
Exemplary communication skills and attention to detail.
Strong proficiency with PatronManager, Salesforce, or comparable CRM system (certified Salesforce Admin a plus).
Project management skills: demonstrated experience in successfully juggling multiple responsibilities and deadlines simultaneously, while maintaining a high degree of accuracy.
Excellent computer skills; fluency in Microsoft Office 365, Sharepoint, Teams, Excel.
