The Membership and Events Coordinator is a full-time position responsible for database management, migration to a new data management system, membership and registration processing, and event logistical support. A remote work environment requires the ability to be punctual, reliable, responsible, and ethical. Additional clerical and conference duties are assigned as needed. Must be located in Texas. Travel required.
Data management, membership, event registration, overall coordination
Primary staff responsible for answering phones during office hours
Provide phone and email support for registration and membership inquiries
Respond to questions and requests related to membership and requests for registration changes
Host monthly new member orientation virtual meetings
Prepare and send custom invoices for membership and registration
Fill out vendor applications for school districts and provide W-4 form on request
Monitor and respond to Contact Form submissions
Process credit card payments over the phone
Provide monthly reports of liability and employment insurance purchases to carrier
Manage the membership and registration database Association Management Software (AMS)
Manage migration from the current AMS to new platform AMS (limited time initiative)
Coordinate membership between Association for Career and Technical Education (ACTE) and CTAT
Utilize AMS to extract data for reporting and targeted communications
Eventsand Programs
Manage logistics and registration for regional training events (travel required)
Work the registration desk and provide logistical support (bag stuffing, runner, move materials) for winter and summer conferences (travel required)
Ensure materials for conferences and events are ordered and shipped in advance
Coordinate elements of conferences and events as assigned
Manage distinguished administrator award program
Support awards program with orders and shipping
Coordinate CTAT member participation in ACTE regional and national conferences (House of Delegates, State Leaders Breakfast, Hill Visits)
Manage tracking for new certificate program once developed
Other
Prepare and submit the annual ACTE Quality Association Application
Participate in weekly staff meetings and planning retreats
Maintain confidentiality of membership and registration data and the Association's information
Review professional publications, establish personal networks, and participate in professional workshops that increase effectiveness and improve the Association's performance
Ensure that the Association's professional image is maintained in all verbal and written communication
Travel required. Must be located in Texas.
Bachelor's degree or credit hours in English, Marketing, or Communications preferred
Two to three years of marketing, events, communications, or public relations experience preferred
Proficient in Google Email, Google Drive, Google Calendar, Mac operating system
Analyze processes related to the role and work collaboratively to improve them continuously
Ability to define problems, collect data, establish facts, and draw valid conclusions
Proven project management skills
Experience with database management
Strong written and verbal communication skills
Excellent, articulate, personable, and diplomatic customer service skills
Ability to multitask, work independently, and efficiently under deadline
