Position Summary: Interlochen Center for the Arts invites you to join our team as a Stewardship & Events Coordinator where you will foster lasting relationships between Interlochen and its benefactors, promoting positive attitudes toward giving among current, prospective and planned giving donors. You'll coordinate Interlochen’s scholarship stewardship program, working with Philanthropy staff, the Office of Admissions & Financial Aid, and donors to help match scholarship recipients with funding sources, and create meaningful thank you touches to donors. Additionally, you will coordinate targeted events to say thank you and show appreciation for donors while demonstrating the impact their gifts have on Interlochen’s programs.
Essential Duties and Responsibilities:
The overall responsibility of the Stewardship & Events Coordinator is to work closely with the Manager of Stewardship and Events and other members of the Stewardship and Events team to help implement a comprehensive stewardship program that appropriately and consistently promotes interaction with and recognition of donors.
The principal responsibility is to coordinate stewardship efforts involved with Camp and Academy scholarships including:
Coordinate all aspects of meaningful stewardship opportunities for donors to demonstrate the impact of their gifts. This will include live and virtual individual meetings between scholarship donors and recipients, as well as group meetings when appropriate. The coordinator will also act as the liaison with major gift officers and the Office of Education for the planning of these meetings.
Coordinate the student scholarship recipient thank you letter process, including instructional mailings to students and informative correspondences to donors. Collaborate with Interlochen Residential Life and Education colleagues, to aid in the collection of the scholar letters. Lead the review of recipient letters for quality control and best quotes for use in stewardship efforts and department materials. Coordinate the copy creation, collation and mailing of recipient letters to donors.
In conjunction with the Office of Admissions & Financial Aid, the Manager of Philanthropy Data & Reporting, and other Philanthropy staff, collaborate on the assignment of named scholarships to qualified students for Camp & Academy.
Assist in overseeing student interns during Camp for assistance with the scholarship stewardship efforts, and other stewardship efforts as appropriate.
Additional responsibilities include
Work with the Manager of Stewardship & Events to plan and produce content (written and video including ThankView and similar tools) for targeted major gift and scholarship stewardship touches and updates on restricted funds for donors.
Track information regarding the use of restricted endowed and named annual program funds.
Plan, facilitate, coordinate and/or manage donor events as directed by the Manager of Stewardship and Events. These duties may include, but are not limited to, event planning, building event platforms in our data systems, drafting and sending invitation and thank you emails (including those through Act-On), managing RSVPs, creating name tag mail merges, coordinating printing and readiness for events, and overseeing assigned aspects of live and virtual events.
Assist with the priority ticketing stewardship program including coordinating correspondence and weekly emails.
Work closely with the Philanthropy Admin team to coordinate the recognition/tribute & in-kind gift processes.
Cross-train to provide key coverage when needed for other teams including data services and operations.

Education:
Bachelor's degree is required.
Experience:
A minimum of two years experience, preferably in education, philanthropy, stewardship, nonprofit work, or a related field is preferred.
Previous experience interacting with donors is preferred.
Unwavering attention to detail and a commitment to accuracy in writing, editing, and proofreading.
Collaborative mindset with the ability to work effectively across diverse teams.
Excellent organizational skills and the capacity to manage multiple projects and deadlines.
Working knowledge of the Google Suite of tools is preferred.
Experience with a CRM preferred, SalesForce experience is helpful.
This is a campus based position.
Though mainly a Monday-Friday daytime position, though occasional evening and weekend work is required when events are in progress, particularly in the summer months.
Certifications, Licenses or Special Training:
Must meet and maintain background screening requirements as detailed in policy 12.HR.01 Pre-Employment and Employee Background Checks.
Valid driver’s license and driving record that meets the eligibility requirements of ICA’s insurance carrier (for all positions requiring driving).
