Reports to: Director, Advancement Services
General purpose: Responsible for managing the processes for gift data integrity of the fundraising system and providing development staff and the Presidentâs Office with accurate & detailed information that will enhance their fundraising and stewardship activities.
Reporting to the Director of Advancement Services, the Advancement Services Manager directly collaborates with all members of the Advancement Team to complete projects. This position includes major responsibility for gift and record management, including independently managing processes to completion for gift acknowledgements and receipts, financial reports, and other related information for gifts to the College.
Summary of Essential Functions:
Independently facilitates all aspects of gift administration
Responsible for adhering to all gift processing standards
Manage processes to maintain the integrity of constituent data residing in the database
Independently evaluate, examine, and correct inaccuracies
Serve as the liaison to the Presidentâs Office for gift acknowledgements
Complete various project-driven tasks independently
Essential Duties & Responsibilities:
Manage and facilitate the processing of all gifts and pledges, gift acknowledgements, pledge reminders, and weekly financial reports in the Advancement database
Responsible for processing all aspects of gift administration in the Advancement database, including constituent identification and coding, gift tracking, and new constituent data while adhering to industry standards as outlined by the Council for Advancement and Support of Education (CASE)
Identify new prospects and campaign donors for inclusion in the fundraising pipeline and for stewardship in conjunction with campaign activities
Collaborate with gift officers in regard to initiatives, donors, and strategies for solicitation aligned with the comprehensive campaign
Run and maintain queries to analyze constituent and donation information for fundraising purposes
Utilize system-related products to manage mass uploads of data for moves managementÂ
Works independently on all aspects of payroll deduction for campus-wide staff contributions
Reconciles and reports online giving deposits to the Office of Finance
Provide campaign gift research for the Finance Department
Works independently to secure and organize incoming charitable financial transactions to ensure timely deposits to MICAâs financial institutions
Ensure accurate recording of gifts to maintain compliance with IRS regulations for MICAâs annual financial audits
Liaise with the Presidentâs Office for completion of special acknowledgements and letters sent on behalf of MICAâs President
Prepare routine and special reports as required, including campaign fundraising reports shared with the Presidentâs Office
Works independently to manage Advancementâs participation in New Staff Orientations with Human Resources
Provide other data functions in the fundraising database and related systems as needed
Independently generates reports and provides other database information as needed for fundraising campaigns and special projects to enhance fundraising activities
Document Advancement system related policies, processes and procedures
Work development special events as needed
Perform other related duties as assigned
Knowledge, Skills & Abilities:
Advanced skills with fundraising donor databases, Raiserâs Edge preferred
Proficiency with Excel and other Microsoft Office programs
Ability to communicate effectively with others, promote teamwork, problem solve
Ability to take initiative to be proactive and self-motivated to complete projects
Minimum qualifications:
Bachelorâs degree, preferably in business, accounting or relevant course of study
Five years professional experience in advancement services or related area
Strong background and familiarity with professional accounting standards and practices, particularly as related to charitable giving.
Familiarity with relational database applications
Excellent verbal and written communication and proofreading skills
Ability to handle confidential information discreetly
Preferred Qualifications:
Experience with Raiserâs Edge
Experience in fundraising, especially in College/Nonprofit setting
Self-starter with a team player attitude
