This position is responsible for providing highly complex administrative support to the Government Relations, Policy and HOSPAC departments within THA, and will report to the Senior Vice President, Advocacy and Public Policy. Serves as the administrative liaison to the Council on Policy Development, Hospital Advocacy Lobby Group, and multiple other THA policy councils and committees as required. Responsible for a high volume of meeting planning, coordination and support and divisional financial accounting budget and administration. Acts as a primary source of contact for THA members. Serves as a primary backup for HOSPAC manager, assists with building logistical coordination and a resource across the Family of Companies for project support, as necessary.
Responsibilities:
The position requires problem-solving, independent, and collaborative interaction, multi-tasking, and organization skills.
Manage all aspects of meeting preparations/event planning for hospital lobby and policy group meeting and advocacy division staff meetings, other various meetings as determined, including assisting with coordination internally and externally of outside requests for meeting.
Manage THA’s legislative database to generate legislative reports including committee reports, house and senate calendars, and state agency hearings on a daily basis during legislative session and throughout the interim.
Ensure that all THA lobbyists (all departments) are registered annually and complete monthly and yearly federal and state lobby reports ensuring that they are filed in accordance with state and federal law.
Coordinate and assist with budget preparation, data entry, and projections for the GR division and other groups as assigned. Assure compliance with all budgets, financial and planning related assignments and deadlines.
Respond and promptly communicate with elected officials and their staff, members of the lobby, state agencies, THA members, and serve as liaison to any contract lobbyists. Interact frequently and build rapport with Capitol staff that regularly interact with THA. Manage requests to support GR efforts with capitol staff.
Responsible for submission of required board reports to Executive Office.
Prepare and edit presentations and other reports/documents as needed. Collaborate with division staff, Communications, Legal, and Executive Office as needed.
Coordinate, arrange and/or schedule all meetings, communication, conference calls, and other pertinent meetings for division staff including travel arrangements and reservations/itineraries as needed.
Manage THA bill tracking process.
Collaborate with various departments as needed.
Perform other related duties as directed or required.
Qualifications:
Knowledge equivalent to four years of college in business or related field. Bachelor’s degree preferred .
Five years related work experience as an office manager or an executive assistant to senior level manager(s) or in a government relations setting.
Experience in government relations and knowledge of the legislative process is highly recommended.
Prior experience in governance, meeting coordination, and/or project management is strongly preferred.
Must have valid Texas Drivers’ License, proof of insurance, and a safe driving record if driving for THA business purposes.
Skills and Abilities:
Must possess demonstrated proficiency and application knowledge of the current version of Microsoft Office Professional Suite and communication applications (Zoom and MS Teams).
Must demonstrate strong planning, management, organizational and people skills.
Must be a self-starter, flexible, able to plan work that requires evaluating facts to determine courses of action and able to anticipate the needs of future projects and work in a very fast-paced environment.
Must be mature and have a respected demeanor, inspiring confidence and trust in members, staff, and outside organizations.
Must possess the ability to establish priorities, work independently and proceed with multiple, complex projects without supervision.
Must have good communication skills – verbal, written and interpersonal.
Should possess experience working with diverse personalities at all levels of an organization.
Must demonstrate the highest level of customer/member service and response including flexibility to respond during off-hours when executives are traveling or preparing for meeting/events.
Ability to take initiative, self-manage, and meet deadlines.
Ability to identify, troubleshoot, and solve problems.
Ability to travel up to 5% may be required.
Position involves hybrid in-person and work-from-home work model with work in office for up to 7 months during legislative session.
