The Foundation Gift Analyst position is responsible for the accurate and timely processing of all gifts received by the Foundation, including gifts made by cash, checks or credit cards, payroll deductions, pledge commitments, employer matching gifts, stock transfers, gifts-in-kind and planned gifts. This position involves researching and analyzing gifts to ensure appropriate donor credit and proper fund designation, as well as identifying discrepancies and adjusting records as deemed necessary. This position generates tax receipts daily and annually, in accordance with applicable regulations. The Foundation Gift Analyst is also responsible for reconciling gifts recorded in the CRM to the bank deposits received per review of daily bank activity, managing the monthly pledge reminder process, and updating donor records based on supporting documentation received as needed.
Essential Functions
Daily gift processing
Sort and organize gifts received via mail, phone, or hand delivered with cash, checks or manual credit card payments; lookup donor ID in the CRM (Raiser’s Edge), if not provided; decipher and interpret information provided (if any) with the payment regarding fund designation to which the payment should be credited; deposit all checks through the Huntington Bank remote deposit function, using only the authorized secure
Link online transactions from Blackbaud Net Community (BBNC) to the appropriate donor ID, fund, and tributes (for donations) and registrants and guests (for events); generate batches from BBNC transactions; reconcile with Blackbaud Merchant Services (BBMS) credit card processing
Verify and confirm gifts for matching gift requests from donor employers; set up matching gift pledges once confirmed; apply payments from the matching gift employer to the appropriate matching gift pledge, assigning appropriate soft
Determine original donors and/or matching gift companies for gifts received via third-party administrator entities (i.e. Cyber Grants, YourCause, ); ensure gifts are recorded accurately.
Manage pledges and recurring gifts, and associated payments, made by biweekly and monthly payroll deductions, as well as payments via other payment
Review bank activity daily for ACH deposits or wire transfers to ensure all receipt activity is recorded; evaluate gift information to ensure gift
Ensure all payments are applied to pledges or recurring gifts, if applicable, and have appropriate soft credit Review and commit batches entered by other gift analysts and enter batch information into Daily Batch Log.
Run the Post-o-Matic process at the end of each day; reconcile post report to the Daily Batch
Generate and send tax receipts for all gifts in accordance with applicable federal, state, local regulations and university
Scan and/or upload all supporting documentation for gifts into OnBase indexing by batch number; ensure compliance with all PCI
Monitor the office giftprocessing@bgsu.edu email box; complete research needed for inquiries from donors, University Advancement staff, and other university employees; respond to all inquiries in a timely
Pledge Management (daily/monthly)
Set up new pledges in the CRM including installment schedules, planned payment method, autopay via credit card (if applicable), and appropriate fund designation, in accordance with applicable accounting regulations and university policies; apply pledge payments when received to appropriate pledge and installment; send pledge reminders monthly for installment payments due in the following month or overdue; approve pledge reductions related to third- party payments; analyze pledge balances monthly for collectability, make adjustments as necessary, and provide recommendations for write-offs to
Gift Imports (weekly)
Access gift information (.txt files) from third-party systems (NGOC/Salesforce/MSB for WBGU-TV and PacFund for Athletics); convert file into format needed for import process using Microsoft Excel; run import process to create batches within the CRM; reconcile gift batches with separate merchant service accounts and amounts received in bank; track fees associated with credit card
As needed:
Collaborate with University Advancement Planned Giving staff to record and document all new and revised planned
Record all gifts received via stock transfer based on valuation documentation received from Foundation
