The Editorial Assistant is responsible for supporting the day-to-day operations of the ASGE publications family (GIE, VideoGIE and iGIE). The website home page for each journal within ASGE’s publication family is below.
This role includes assisting with the peer-review process, coordinating with editors, reviewers, and authors, and doing other tasks or special projects as requested by the Senior Managing Editor and Editors-in-Chief. Assists with other ASGE document coordination as needed. This position is a hybrid position for those in the Chicago, Illinois area within the vicinity of the ASGE Downers Grove headquarter office.
Core Responsibilities
Use our manuscript management platform to assign, monitor, and send decisions on manuscripts submitted to the journals.
Track in-progress reviews and send reminders to editors, reviewers, and authors.
Answer queries submitted to the editorial office by editors, reviewers, and authors.
Assist in the creation and scheduling of social media content for various platforms and assist in gathering content for our blog.
Proofread articles and other content as needed.
Work on special projects assigned by the Senior Managing Editor, including but not limited to, data entry, collating information, and quality control.
Attend and record minutes at editorial meetings.
Manage the editorial office email accounts, responding to author, reviewer, and editor queries.
Occasional travel (<10% per year)
Bachelor’s Degree Required (e.g. English, Communications or a related field of study)
At least two (2) years of recent professional experience preferred but will consider recent college graduates.
Comfortable working independently yet can contribute collaboratively in diverse, global team-based projects.
Exceptional communication skills with proven ability to communicate via telephone, computer, and in person.
Experience in copyediting or proofreading as well as knowledge of AMA Manual of Style is highly desirable.
Knowledge of and comfortable in learning to keep up to date on various technologies, including Editorial Manager, Office360, Excel, PowerPoint or Keynote, Word or Notes, various social media tools, text and graphic computer applications, and other related emerging technologies.
Ability to multi-task in a fast-paced publications environment.
Excellent organizational and communication skills (written and verbal), with ability to be diplomatic, flexible, and have an excellent command of the English language.
Exceptional copyediting and proofreading skills and attention to detail.
Have excellent organizational and time-management skills, creativity, willingness to experiment, and be highly motivated and achievement-oriented.
Have a broad interest in scholarly and digital publishing trends.
Some experience or willing to learn in assisting with various budget preparations for publication portfolio.
Due to the nature of our publications and editorial and related committee meetings, some weekend and evening related work is required.
