Position Summary
The Associate Director works in partnership with the Co-Directors on strategic planning and vision for the Institute, and oversees the Instituteâ™s staff, fellows, activities, and collaborations, including research, fundraising, events and conferences, publications, programs for students, administration, finance, communications, and other programmatic activities. The Associate Director may also engage in independent scholarly activities, including research and writing, lecturing, and occasional teaching, as appropriate.
Job Description
Primary Duties & Responsibilities
Institute Administration.The Associate Directorâ™s primary responsibility is to manage the daily operations of the Cordell Institute, working with the Directors, Institute administrative staff, and internal and external fellows.
General Administration. Daily administration of CI personnel, projects, and functions, which must be responsive to policies and other limitations or special conditions related to complex relationships across multiple departmental and institutional lines within and external to WU. This includes regulatory and other guidance policy, fiscal oversight, human resource management, information systems management, data-sharing and intellectual property issues, summer student and graduate fellow training programs, and NIH and other internal and external funding agency rules and guidelines.
Strategic Planning. Annual review and proposed modifications to CI strategic plan to reflect changes in revenue, new opportunities for projects and/or personnel, and timely communications with CI founders, CI Steering Committee members, and other WUSTL officials as appropriate.
Budgeting. Development of CI annual budget, including project/program-specific budgets, communications and annual report budget, and events budgets; works closely with Danforth campus and Law School financial officials to ensure accurate and timely information exchange related to CI finances.
Fiscal Oversight. Oversight and guidance for CI and/or other specified WU administrative assistants in obtaining quotes for goods and services, payment of valid invoices, payroll for CI employees, and reconciliation of incurred costs to designated revenue centers. The Executive Director prepares quarterly business reports for the CI Directors to ensure resources are allocated according to designated priorities.
Project Management. The Assoc Director is also responsible for oversight and management of the Cordell Instituteâ™s substantive projects, such as white papers, grants, colloquia, conferences, educational programs, and other events.
Institute project development. The Executive Director oversees the generation and development of CI projects, and ensures that this process unfolds smoothly. This includes i) initial triage/screening to ensure proposals are consistent with CI mission and strategic plan and project requirements may be met by CI capabilities and budget, ii) investigating and reporting on funding announcements from the NIH, extramural foundations and other sponsored programs that are aligned with CI areas of research and activity, and iii) coordinating or drafting of initial project forms or proposals for review by CI directors and fellows.
Institute project management. The Executive Director also ensures that projects are managed professionally, ensuring timely completion of program and project-related tasks, including CI annual report, progress reports, drafts, proposals and other scholarly documents prepared by CI fellows, WU faculty, and other collaborators, and activities and documentation related to project closure and archiving.
Educational Programs. The Executive Director administers CI educational programs, including assistance in course and special event planning, advertising/recruiting, preparation and distribution of course materials, and oversight of designated CI or WU staff related cost accounting for educational activities.
Event management. In coordination with other CI staff, the Executive Director develops event plans, budget projections, and coordinates logistics and services related to the annual CI symposium and other CI-sponsored public conferences and private events, including visits by invited guests, speakers, recruits, and scholars. This includes the CI Health and Information Policy Colloquium. The Executive Director participates and manages events to ensure high-quality and successful outcomes. Ensures appropriate and timely payment of invoices related to CI events, collection and archiving of CI materials, video/audio recordings, authorizations, and other documents.
Oversee development of messaging and communication tactics that differentiate department from similar institutes.
Communications. The Assoc Director is also responsible for coordinating Institute communications with internal and external audiences, including the media.
Point of Contact. The Executive Direcror is the primary CI contact for WU faculty, staff and group inquiries, inquiries from academic and other non-profit centers, foundations and institutions, corporations, government and regulatory agencies, commercial service providers, and law firms in order to provide accurate, timely and professional information when appropriate, and to ensure efficient communication of inquiries to the CI directors and other CI fellows and staff as appropriate. This function may require oral, electronic, or written announcements as an official representative of the CI.
Website management. The Executive Director oversees content generation and management and maintenance of functionality for CI website, including solicitation and professional review of content from CI fellows and other contributors, communications with website development and service providers, monitoring of website usage and tracking services, networking and embedded links to other websites, and accuracy of reporting CI events and news.
Media. The Executive Director coordinates CI media relations. In practice, this may include the drafting, editing and posting of official CI communications to WU public affairs (both Danforth and Medical School campuses), local and national media outlets and providers, and the media/public affairs services of collaborators, their institutions, or otherwise affiliated entities. Works with all CI faculty, staff, collaborators and affiliates (including University Public Affairs) to ensure accuracy and alignment of messaging to reflect CI mission, priorities, and established policy or positions.

Substantive management experience in higher education or not-for-profit entity.
MA, JD, MD or PhD in field related to the Instituteâ™s work.
Outstanding interpersonal, written and verbal communication skills.
Demonstrated effectiveness in communicating with policy makers and influencers.
Experience scoping, establishing and managing partnerships with the private, nonprofit and public sector organizations.
Required Qualifications
Master's degree in relevant field and three years' related experience or equivalent education and experience to equal eight years.

Salary Range
$70,300.00 - $120,000.00 / AnnuallyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
