Reporting to the Strategic Relations and Outreach Manager, the role of Medical Education & Outreach Specialist is key to the success of facilitating and all continued medical education, conferences, and symposiums that are developed by Fred Hutch. This role is responsible for all activities and resources in support of projects that impact multiple organizations and departments with moderate to high complexity or multiple projects simultaneously.
Responsibilities
Education and Course Planning Consultation
- Meets independently with program directors, continuing medical education (CME) course chairs, faculty, department administrators, and coordinators in determining the needs and requirements for planning, executing and evaluating CME events and other educational activities
- Supports the broader team (physician relations, education, etc.) in delivering educational programs that support team goals and objectives
- Specific education and course planning consulting responsibilities include the following:
- Collaborate with course chairs and/or team members to develop course description, course objectives, target audience, course location, needs assessment, and course schedule
- Assist in the promotion, internal and external marketing and advertising.
- Commercial/industry sponsor support.
- Develop and manage pro-forma budget, and assist with the administration of financial tasks including honoraria, travel expenses, etc.
- Develop and review completion of the CME Planning and Application forms. Advises and troubleshoots problems areas as is appropriate
- Manage CME Letter of Agreement
Education Activity Administration
- Exercises independent judgment and discretion in all aspects of planning, organizing, execution, and post-course follow-through of medical education activities.
- Specific responsibilities include facilitation and administration of the following:
- Development of planning timeline to meet all critical points throughout the planning and execution phases for each activity.
- Development of contracts with both internal and external agencies. Planning areas include the following:
- Conference location and room(s)
- Catering and food
- Audio/visual support
- Course promotional mailings
- Advertising in journals/websites
- Syllabus and print materials
- Tracking educational tactics, speakers, and participants in Salesforce PRM.
- Communication with team members, course chair, and faculty to include management and facilitation of the following:
- Correspondence with course guest faculty to confirm participation and attendance
- Receipt of syllabi and PowerPoint presentation materials. Coordinates for additional course material as is required
- Activity promotion management to include the following:
- Identifying advertising requirements (journals/websites)
- Identifying mailing lists to be used to send promotional correspondence.
- Coordination of design, production and mailing of promotional correspondence
- Development of proposals and grant requests for commercial/industry support of CME programs and activities. Work with course directors to explore innovative funding options for CME programs and activities.
- Administer post-course activities to include the following:
- Course evaluations
- Follow up correspondence to faculty and vendors
- Follow through on all financial accounting in conjunction with the Strategic Relations and Outreach Manager, including invoices, honoraria, and tracking non-monetary compensation.
- Maintain documentation during course planning and communication
Qualifications
Required:
- Bachelors Degree, or high school diploma and equivalent experience.
- 5 years minimum in progressively complex project management/fast-paced role
- Microsoft Office applications required (including Microsoft Outlook, Word, Excel, Power Point, Access and Visio). Attention to detail required, ability to troubleshoot or anticipate change desirable.
- Understanding of, and competence in, highly professional realm requiring diplomatic communications with internal and external groups, with effective fielding of inquiries and professional representation of the program.
- The incumbent works well independently with minimal supervision and is expected to use initiative and sound judgment in carrying out responsibilities within the framework of the department procedures.
- The ability triage and work on multiple projects in parallel.
- Excellent verbal and written communication skills.
- Must have a valid Washington Driver's license. Travel required: approximately 10%, may be required for overnight travel for meetings and events. Ability to work evenings and weekends.
- Self-motivated team player, with demonstrated ability to work independently with minimal supervision. Diplomacy and understanding of political sensitivities. Tactful approach in handling. confidential and sensitive information and a high sense of responsibility and discretion
Preferred:
- Masters Degree
- Experience with Salesforce or other Customer Relations Management Software
This position is patient facing and/or requires access to Fred Hutch clinical facilities. As such, full COVID-19 vaccination is required as a condition of employment, without exception. Booster doses are strongly recommended but not required. If declining a booster, completion of the COVID-19 Vaccination Status Form Questionnaire and COVID-19 Booster Declination Training is required. The annual base salary range for this position is from $67,445 to $101,167 and pay offered will be based on experience and qualifications.
