Bank Street College of Education has three divisions: Children’s Programs, including the School for Children, the Family Center, Head Start, and Liberty LEADS; the Graduate School of Education; and the Bank Street Education Center, which houses Bank Street’s portfolio of public impact work. The College relies on the Development and Alumni Relations Office (DARO) to provide fundraising and alumni support to these divisions.
Position Description:
The Development Associate will be responsible for gift entry, processing and acknowledgment, database support, and general development administrative duties. The Associate reports directly to the Chief of Staff DARO and works closely with cross-divisional partners in the Business Office. The ideal candidate is extremely detail-oriented with experience with data entry and Constituent Relationship Management (CRM) databases. Additionally, they will interact with and take direction from DARO leadership, as needed. This position will work on a hybrid schedule including working onsite at least 3 days a week.
Essential Job Duties and Responsibilities include:
Development Operations (70%)
Divisional Partner - Development Database & Analytics Manager
Manage all aspects of gift processing and acknowledgment creation in The Raiser’s Edge donor database
Gift and data entry within systems, Raiser’s Edge and Classy
Create bank deposit records and handling checks
Process online gifts – and creating batch for Mail/Credit Transactions
Monitor and process recurring gifts in RE
Data entry, import, and export to support annual fundraising initiatives
Maintain and update donor records in RE to ensure correspondences and pertinent information/documents are appropriately linked to donor
Assist with donor profiles including gift histories and biographical information
Monitor database and oversee biographical updates upon request and through returned mail
Manage Donor acknowledgment process
Including drafting personalized correspondences, receipting, and notification of gifts in honor of.
Maintain foundation, corporation, and individual donor files (in the database and in Google Drive)
Manage database events
Create event forms
Maintain event files and invoicing
Manage consistent data reporting
Create and disseminate weekly, monthly, and ad hoc fundraising reports, as necessary
Create queries and reports for gifts, mailing lists, annual reports, and other donor lists as needed
Draft administrative memorandums, letters of correspondence, requests for gift renewals, etc.
Assist as needed at DARO fundraising and cultivation events, donor mailings, and special projects as needed
Check PO Box on a regular basis for incoming checks/mail (requires 20 minutes of walking/commute round trip)
Travel between buildings daily with time-sensitive materials as needed
Provide support for cultivation/appeal mailings and other donor outreach, via data entry, import, and export
Administrative Support (30%)
Divisional Partner(s) - Development Database & Analytics Manager and Managing Director, Business Operations
Process all invoices and credit card expense reconciliation using electronic Financial Edge NXT
Maintain donor invoice files and invoice system
Track and order supplies, as needed
Monitor and respond to phone and email inquiries from donors, including donor information updates and high-level programming questions
Manage inventory and distribution of department's swag
Manage on-line system for registering guests of the division
Other duties upon occasion, as assigned
Qualifications
Required
High school diploma or equivalent, with a minimum of four years experience working in a nonprofit organization
Must have experience using Raiser’s Edge Database View
Ability to handle sensitive and/or confidential documents and information
Proficiency with Google Workspace and Office products
Positive work ethic, with ability to work as part of a fast-paced and team environment, as well as work independently
Detail-oriented, with good time-management and multi-tasking skill
Good interpersonal, and communications skills
Ability to organize, prioritize, and complete projects quickly
Good reading, writing, and proofreading skills
Ability to work some nights and weekends with advanced notice
Preferred but not required
Some college preferred
Raiser’s Edge NXT experience is highly preferred
Experience in a higher education setting is highly preferred
Gift entry experience with a basic understanding of the concepts: hard Credit and soft credit, campaigns, appeals (and appeal packages), funds, and split gifts.
