JOB SUMMARY The Rashi School, an independent Jewish elementary and middle school in Dedham, MA, seeks a Development Coordinator to join the school’s dynamic five-person development team. Reporting directly to the Director of Development Operations and Stewardship, the Coordinator provides integral support for the development team through the accurate and timely processing and recognition of gifts, administration of the donor database, coordination of scheduling and meeting preparation, and assistance with event planning and logistics. The Coordinator also provides essential administrative support for the Head of School, Director of Development, and Director of Jewish Life and Partnerships.
RESPONSIBILITIES Gift Processing & Reporting • Develop and maintain consistent and efficient processes for gift entry and acknowledgement • Record all gifts, pledges, and pledge payments in Veracross, Rashi’s donor database • Oversee and execute the gift acknowledgement process to ensure every donor feels appropriately recognized and thanked • Produce and distribute recognition cards for tribute gifts • Serve as the main point of contact for donation inquiries, tracking, and acknowledgment letters • Maintain excellent hard-copy and electronic records for gifts, pledge documentation, acknowledgement letters, and other development materials • Support the Director of Development Operations and Stewardship in the creation and distribution of pledge reminders • Support the Director of Development Operations and Stewardship in producing regular fundraising and activity reports for the Director of Development, Head of School, Board of Trustees, and volunteers Database Administration • Maximize the functionality of the database and implement best practices to effectively manage constituent data • Ensure all constituent records are accurate and up to date through regular maintenance of contact and biographical information • Add all contact reports and meeting notes from development team members, Head of School, and volunteers to the database
• Assist the Development Manager in collecting and tracking all alumni news and updates • Coordinate and communicate regularly with the Admissions, Business, and Technology/Registrar offices to ensure consistent data management Donor Relations and Event Support • Coordinate donor visit scheduling and logistics for the Head of School, Director of Development, and volunteers • Prepare Development staff, Head of School, and volunteers for donor visits by assembling background materials and development documents • Support the Director of Development Operations and Stewardship in the preparation of donor impact reports and stewardship materials • Assist the Development team in all aspects of planning a portfolio of high-profile events, including management of invite and RSVP lists, communication with vendors, preparation of materials, and coordination of day-of logistics Administrative Support & Other Duties • Manage calendars and scheduling for the Head of School, Director of Development, and Director of Jewish Life and Partnerships • Manage scheduling, logistics, and materials for Board of Trustee meetings • Coordinate and manage all development mailings • Manage logistics for development team and committee meetings, including booking meeting space, creating agendas, assembling materials, and recording meeting minutes • Collaborate with development staff to support school-wide initiatives and projects • Attend school events as necessary • Take part in the school community through weekly lunch and recess duties
QUALIFICATIONS • Bachelor’s degree and 1-2 years of relevant experience, preferably in a nonprofit organization, independent school, or educational setting • Superb attention to detail and analytical skills • Strong interpersonal and organizational skills • Ability to multi-task, meet deadlines, and problem-solve • Expected to work independently, proactively, and as a collaborative member of the development team • Excellent technology skills, including proficiency in Google Workspace and Microsoft Excel • Ability to maintain strict confidentiality and data security • Experience in CRM or donor database management, preferably with Veracross • Availability to work on occasional nights and weekends
