Detailed Job Description This Administrative Assistant II position reports directly to the Director of The Golisano Institute for Sustainability (GIS) and provides direct administrative support to the Director as well as other senior staff members. In addition, this position provides critical administrative support to the faculty of GIS.
This position will have, but is not limited to, the following responsibilities:
Responsible for all administrative support for the Director including drafting of correspondence, emails, and other communications. May assist with proposal development. May provide internet research, analyzing of information and drafting of reports and memos. Responsible for handling various signature and approval requests.
Provides on-campus staffing of the GIS main office on a daily basis to include greeting visitors, faculty, staff and students during normal working hours. May supervise 1 staff member and 1 student.
Maintains and manages the Director's calendar including monitoring meeting requests, scheduling, organizing and preparing for meetings, reserving conference rooms, and ensuring calendar accuracy.
Manages all aspects of the Director's travel to include booking tickets, hotels, car rentals, and conference registrations in a timely manner. Prepares detailed travel itineraries, prepares travel expense reports and maintains detailed records of travel. May also include booking international travel and obtaining visas as necessary.
Provides critical administrative support to the faculty of GIS including working with promotion, mid-tenure and tenure committees, as well as working with staff in the RIT Academic Affairs offices.
Manages visitors to the GIS main office, including coordinating agendas, planning tours, providing directions and hotel information, and ordering hospitality.
Planning and execution of department-wide events and meetings, senior staff retreats, faculty meetings and board meetings. May also include taking accurate meeting minutes.
Prepares and processes department credit card transactions, internal purchase orders, invoice payment forms, orders supplies, and is responsible for the reconciliation of two department procurement cards.
Maintains proficiency in the use of specialized accounting, purchasing, timekeeping and event management systems.
