POSITION TITLE: Administrative Assistant III (Program Coordinator Assistant/Membership Assistant)

GENERAL DESCRIPTION:
Assists Program Attorneys, Program Planners, Program Coordinators, and the Managing Director of Texas Bar College as needed. Primarily responsible for several aspects of course material production, support of volunteers related to the delivery of continuing legal education (CLE) products and services, and Bar College member support. Support of volunteers and Bar College members includes but is not limited to formatting and processing of articles submitted for seminar books, processing speaker and author evaluations, conveying evaluation results to staff and volunteers, compiling materials for program participants, proofing and ordering course materials, data entry of course information and membership data, processing membership applications and payments, and some correspondence.
PRIMARY FUNCTIONS:
Reformats articles submitted by volunteer speakers/authors to ensure consistency by creating headers and footers, generating tables of content, changing margins and tabs, and working with styles and formatting.
Answers questions from volunteer speakers/authors related to article formatting, enters final program wrap-up data.
Assists in maintaining program data in an Access database, including entering evaluation comments, and membership data in Microsoft Dynamics CRM.
Compiles articles in digital form for course production.
Converts PowerPoint presentations to PDF format for uploading to web page.
Responsible for the mailing of speaker correspondence and speaker/author packets to volunteer speakers.
Assists with taking notes at meetings and assists Program Coordinators in assembling a tentative program.
Assists and serves as backup for Program Coordinators in their absence.
Assists in fulfilling requests from authors for articles relating to their assigned topics to serve as a basis for research in updating/writing the current article.
Responds to inquiries from members via email and telephone.
Processes membership applications including processing payments.
High school diploma or equivalent required; some college and law related experience preferred. Two years office experience preferred. Must be proficient in Microsoft Word, WordPerfect 6.1 for Windows and have database experience, preferably Microsoft Access. Must be able to perform advanced level functions and explain those functions to others. Typing 45 wpm minimum, over 60 wpm preferred. Must possess superior accuracy, proofreading and organizational skills, individual initiative, sound judgment, ability to work under pressure, handle multiple tasks and provide excellent customer service. Requires ability to lift boxes up to 35 pounds. Occasional travel required.
