The Department of Psychiatry and Behavioral Sciences (PBSCI) within the UW School of Medicine is the third largest clinical department with 285 full-time faculty members, 280 clinical faculty members, and over 300 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $35 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. The Department of Psychiatry and Behavioral Sciences is recruiting for a 6 months duration full time Program Operations Specialist.
Position Purpose: This 6 month full time fixed term Program Manager position is accountable for the overall administration and management of the Maternal & Child Mental Health program within the Department of Psychiatry and Behavioral Science. The program manager will work closely with key faculty to plan, implement and evaluate programmatic initiatives to meet the program's goals and commitments. The program manager will oversee research and program projects, operations, and supervise staff. The Maternal & Child Mental Health program within the Department of Psychiatry and Behavioral Sciences aims to support optimal maternal and child mental health and emotional well-being through a diverse portfolio of clinical, research, implementation and training initiatives with a focus on clinical care for perinatal people. Position Complexities: The Maternal & Child Mental health program is growing with multiple new and expanded initiatives coming online as well as a diverse range of sponsors including nonprofit and government agencies. The program manager will help design, implement and evaluate projects. Strong organizational skills are key requirements for the role. The program manager will manage program and research staff.
Position Dimensions and Impact to the University: The program manager exercises substantial responsibility to ensure program success, utilizes specialized knowledge of the program to allocate resources and establish standards and procedures for the program, and ensures that the program conforms to institutional and department policies and regulations. This program has a significant interface with providers, health care systems and community-based organizations across the region and has potential to enhance the reputation of UW Medicine.
Responsibilities: Oversight and Coordination of Maternal Mental Health portfolio of projects and initiatives such as those described including: research projects, evaluations, provider trainings and consultation, and research 80% •Develops and maintains timelines and other tracking tools as well as standard protocols for project implementation •Works with faculty on perinatal mental health trainings and workshops for providers, managing all aspects of the program including scheduling, execution and program evaluation •Coordinates the outreach for the Perinatal Psychiatry Consultation Line for providers, the Moms’ Access Project ECHO (training series for providers), and health services research projects to improve perinatal people’s access to mental health and substance use care. •Represents the unit in professional and community settings including meetings, trainings, etc. Operations 10% •Manages day-to-day operations to help ensure that the unit is meeting its goals and commitments, including events, calendaring, internal and external communications Supervision 10% • Manages administrative and research and program personnel. • Trains personnel in procedures and methods. • Delegates appropriate work to support staff with follow up assistance as needed. • Performs and submits reports for annual performance reviews and recommendations for merit increases.
Lead Responsibilities: Administer the program’s projects.
Supervisory Responsibilities: Will supervise a two fixed term research coordinators and a full time program coordinator.
Minimum Qualifications: Master’s Degree in Public health, public administration, administrative leadership or other related field Two years work related experiences Fluency with MS Office suite and other standard office tools Strong project management and use of tracking tools Experience supervising staff and coordinating multiple projects simultaneously Strong proofreading and editing skills
Desired Qualifications: REDCAP experience (building / designing surveys) Research coordination and management experience Experience with quantitative and qualitative research techniques including surveys, interviews and focus groups Strong writing skills, including experience with proposal and report writing Familiarity with UW administrative policies, procedures and administrative systems
