The Evans School’s Finance and Administration team is seeking a skilled and analytical Grants Manager to help manage financial awards received by faculty of the Evans School.
RESPONSIBILITIES The Grants Manager is responsible for the financial management of awards received and proposals submitted by the Evans School. In this role, the Grants Manager must have a thorough understanding of grant management, in accordance with all applicable rules and regulations, and communicating proficiently with principal investigators (PIs) and sponsors. The Grants Manager will work as part of the Finance and Administration team to ensure compliance with all aspects of grant management.
Grant Management Develop a thorough knowledge and understanding of the projects’ research design and goals, regulations and processes, fiscal operations, and the regulations and guidelines of various government agencies and private funders. Research, interpret and apply various UW, federal and sponsor policies, rules, and regulations and ensure compliance with requirements and guidelines. This includes award requirements as well as monitoring deadlines and deliverables, preparing financial reports, invoices, and requesting extensions/supplements of projects and budgets. Counsel principal investigators (PIs) concerning funding, projected expenditures, or other project-related issues. Advise PIs on sponsor policies and procedures and consult with funding agencies to resolve problems and/or obtain approval for deviation from authorized officials. Advise PIs on institutional and Evans School policies and procedures. Act as liaison and representative for these projects with internal and external constituencies on behalf of the PIs and the Evans School to include budget activities, preparation and routing of electronic and paper forms, and related questions. Facilitate clear communication amongst staff, administration and faculty members, collaborators and sponsors. Utilize excellent written and oral communication skills for the purpose of complying with project requirements and disseminating information to a wide audience, including the UW and both public and private sponsors. Review and authorize budget expenses. Monitor budget activity, taking appropriate corrective action as needed. Investigate and resolve complex budget problems. Respond in a timely way to faculty requests for budget information, including budget revisions, budget analysis and scenarios, budget updates, et cetera. Responsible for problem solving, prioritizing and multitasking of assignments, requests and submission deadlines. The role frequently requires managing several competing deadlines, often with short lead times. Review monthly budget reports and ensure accurate reconciliation of expenditures. Review purchasing documents such as contract agreements, advising faculty of potential areas of concern. As needed, communicate with vendors to facilitate agreement of terms and conditions. Assist with records retention compliance in the gathering and storing of grant and contract records.
Proposal Submission As a back-up, support Evans School principal investigators as well as other investigators at the UW and at other institutions in the successful submission of proposals and receipts of awards. Interpret and implement policies applicable to sponsored program proposals and provide advice to investigators. Provide advice and interpretation of regulations of funding agencies as well as UW policies and procedures to PIs, other project personnel, Evans School administrators and staff. Ensure compliance with federal, state and UW policies, procedures and regulations. Review award documents such as contract agreements, advising investigators and/or the Office of Sponsored Programs of potential areas of concern. As needed, communicate with sponsors and other interested parties to facilitate an agreement of terms and conditions. Develop basic and complex budgets and prepare other administrative sections of all Evans School sponsored programs proposals, resubmissions, competing and non-competing renewals for faculty investigators. Prepare required institutional and Evans School proposal approval mechanisms. Coordinate and monitor administrative approval processes through the Evans School, other UW units, and the UW Office of Sponsored Programs.
General Participate as an active member of the Finance and Administration Team designing and recommending efficiencies and process improvement methodologies in alignment with unit goals. Maintain Evans School intranet web pages related to Research Support.
REQUIRED QUALIFICATIONS Bachelor's degree in Accounting, Business Administration, Public Administration or related field. Minimum of three years grant and contract management experience. Progressively responsible experience managing grant-sponsored proposals and budgets. Strong financial analysis, budgeting and project coordination experience required. High level of proficiency in Microsoft Office applications and the use of the internet. Experience working as part of a team, and the ability to work with faculty and senior staff on major projects with minimal supervision. Must demonstrate excellent written and oral communication skills. The demonstrated ability to function independently and have good judgment. Proven analytic abilities - ability to proactively research and resolve questions, discrepancies, and inconsistencies. Highly resourceful, organized and detail-oriented. Ability and willingness to adjust to changing priorities on very short notice as well as the ability to manage multiple projects with varying deadlines. Must be highly organized, service-oriented, team-oriented, flexible and resourceful. Ability to communicate effectively in writing, by phone and in person with diverse audiences. Excellent interpersonal and communication skills. Advanced excel spreadsheet experience. Must have the ability to maintain confidentiality and use discretion.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED QUALIFICATIONS Experience working with UW fiscal and administrative systems and departments.
