The Development Coordinator is an experienced professional with a proven track record in event/project management. The primary responsibility of the Development Coordinator is to lead the planning and execution of YES events, including the annual Invest in Youth breakfast event, and smaller cultivation events throughout the year. The Development Coordinator is also responsible for managing the donor database and is accountable for the integrity of donor records.
This is a full-time position that reports to the Development Manager.
Essential Responsibilities
Special Events Management
Oversee the planning and execution of YES’ annual fundraising event.
Develop and execute event timelines and track overall progress.
Collaborate with CAO and DM to secure table captains, and manage all TC communications.
Create event budgets and set fundraising goals with CAO and DM; track expenditures and report on final numbers.
Work in collaboration with the CAO, Development Manager and the Marketing & Communications Manager to create event program: speaker selection, video production, central theme and messaging, etc.
Manage relationships with external vendors: venue, audio-visual.
Manage guest registration.
Work in collaboration with Marketing & Community Relations Manager on event collateral.
Manage pre-event, day-of, and post event activities.
Manage the planning and execution of smaller donor events throughout the year.
Donor Database Management
Manages the daily operations of the constituent database, ensuring the accuracy and integrity of data input and output.
Develops, updates and maintains effective systems for data cleansing, data entry, and gift processing.
Responsible for correct and timely donor data entry, gift processing, and donor acknowledgements.
Creates reports, queries, mailing lists and other database outputs in support of development activities.
Reconciles monthly development revenue records with finance department, and supports annual audit.
Other Giving Support
Manages in-kind gift program, including the annual holiday gift card program.
Other
Provides administrative support for Board Development Committee meetings.
Undertakes other duties as assigned to meet revenue and donor engagement goals.
Required Skills & Education:
Bachelor's degree in business administration, fund raising/non-profit management, communications, public relations, OR equivalent level of training and experience (prefer five years in lieu of BA).
Two or more years working in a non-profit environment, with experience in event management and database systems.
Proven ability planning and executing special events.
Strong organizational and time management skills. Ability to prioritize and managed multiple tasks, and meet competing deadlines.
Excellent customer service skills. Able to work cooperatively and establish effective relationships with fellow YES employees.
Strong verbal and written communication skills.
Proven expertise in management and maintenance of donor database, preferably DonorPerfect or comparable database.
Proficiency in Microsoft Office Suite.
Ability to work independently and as part of a team.
Experience with reconciling donor and financial system data, and basic accounting principles, a plus.
Prefer knowledge of and previous experience with diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
Working Conditions:
Must have valid driver’s license and dedicated transportation available for outside agency meetings and duties. Ability to lift and carry up to 30 pounds as job occasionally requires loading and unloading supplies for events and other activities. Occasional evening and weekend hours required. Based at YES’ Bellevue Crossroads office.
