Position Summary: Reporting to the Senior Director, Human Resources, the Human Resources Associate has direct responsibility for day-to-day administration of human resources programs. This generalist position provides customer service to employees and managers through support for a wide range of activities including recruitment and staffing, benefits and leave administration, HRIS and records management, and guidance on policies and procedures.
Major Functions and Responsibilities:
Supports full-cycle recruitment and onboarding processes for regular employees, temporary staff, and interns (25%)
- Works as a liaison with departments on recruitment, selection, and onboarding activities
- Develops strategies to improve recruitment and retention efforts, ensuring outreach to diverse populations; conducts screening and evaluation of applicants
- Conducts new employee orientation and streamlines onboarding processes and procedures
- Manages relationships with employment agencies; develops and maintains relationships with universities and organizations to assist with intern recruitment
Manages administration of employee benefits, including health and welfare, retirement, and qualified transportation programs (20%)
- Processes enrollment changes with service providers; ensures timely and accurate reconciliation and payment of invoices
- Organizes and manages annual open enrollment process and conducts benefits orientations for new employees
- Provides general benefits information to applicants and employees; works with external vendor to ensure compliance with COBRA notice provisions
Provides high-quality customer service for a variety of employment and NAFSA member-related inquiries (25%)
- Responds to requests for verification of employment
- Serves as primary contact person for benefits and leave related issues
- Assists with health and wellness screenings to ensure safety of employees and guests
- Assists with general membership questions and inquiries received via telephone to resolve customer service issues.
Manages implementations, updates, and maintenance of HRIS (10%)
- Ensures integrity of employee records and validation tables as well as timely and accurate processing of transactions, including hires, transfers, terminations, and benefit enrollment changes
- Supports semi-monthly payroll processing by coordinating changes and reconciliations with accounting and finance staff
- Provides guidance and training to employees and managers on system functionality
Researches best practices and recommends required changes to employee communications including policies, benefits information, employee handbook, and other materials (10%)
- Provides policy guidance and information to employees and managers on paid and unpaid leave policy issues, including local and federal Family and Medical Leave Acts
- Maintains current knowledge of applicable federal state and local laws; recommends changes to existing policies and procedures to ensure compliance with regulatory requirements
- Develops statistical reports to monitor and evaluate employment transactions, trends, and metrics, as well as compliance with census requests, audits, and external reporting requirements
Manages document storage, retention, and destruction policies (5%)
- Maintains paper and electronic files and records in a highly organized and retrievable manner
- Conducts periodic audits of records to ensure compliance with federal, state, and local statutes and regulations
Perform other duties as assigned to support fulfillment of NAFSA’s strategic objectives and goals (5%)
Required Qualifications:
- Bachelor’s degree in related field, or an equivalent combination of education and experience
- Minimum three years of human resource generalist experience
- Demonstrated knowledge of local and federal employment laws, regulations, and compliance requirements
- Experience working with cloud-based HRIS systems
- Experience with Microsoft Office Suite, with strong working knowledge of Word, Excel, and PowerPoint applications
- Excellent oral and written communication skills; strong interpersonal skills with the ability to work with diverse cultures and populations across all levels of the organization
- Outstanding organizational and project management skills with the ability to manage time effectively and meet deadlines
- Keen attention to detail
- Ability to perform basic mathematical and statistical calculations
- Demonstrated ability to manage multiple projects and tasks simultaneously and adapt in an environment with shifting priorities
- Demonstrated sound judgment, cultural sensitivity and discretion in handling confidential information
Desired Qualifications:
- Experience with nonprofit, education, or international education institutions
- Experience with benefits administration, recruitment, and onboarding activities
- Experience communicating policy or procedure information to diverse populations
- PHR, SHRM-CP, or related human resources certification
- Experience with Paylocity
Scope of Supervision
The position does not have supervisory responsibilities.

As representatives of a membership organization with a broad and diverse range of activities related to education and training, NAFSA staff possess more than simply specialized capabilities. Each individual is expected to take the initiative to become knowledgeable about the organization as a whole. Association members and other staff expect colleagues to be accessible and responsive, to convey a positive attitude, and to exhibit a high degree of professionalism.
Office Environment
The workday is generally 9:00 a.m. to 5:00 p.m. The week after Memorial Day to Labor Day, it is 8:30 a.m. to 5:30 p.m. Monday through Thursday and 9:00 a.m. to 12:00 p.m. on Friday.
Travel is required occasionally related to job responsibilities, especially for the annual conference, regional meetings, and other leadership meetings. Participation in the NAFSA annual conference the week of Memorial Day, including the holiday itself, is a job requirement. The annual conference is held in varying cities.
