We are seeking a Foundation and Special Projects Coordinator
For ACP’s Education Foundation!
American College of Prosthodontists (ACP) is searching for an experienced administrative professional who is highly skilled in all aspects of administration to lead the day-to-day efforts in furthering the mission of the ACP and the ACPEF (American College of Prosthodontists Education Foundation). This key role reports to the CEO and will work with them in collaboration with the Development Consultant and ACPEF Board. Additionally, ability to take initiative, be a self-starter, work successfully with our volunteers and possess advanced software skills will all be key to success for this role.

American College of Prosthodontists (ACP), founded in 1970, is a not-for-profit association created to represent the needs and interests of prosthodontists within organized dentistry, and to the public, by providing opportunities for dialogue, education, advancement, and improvement through meetings, continuing education, communications, publications, and other programs and activities. The mission of the ACP Education Foundation is to secure and steward resources with the aim of advancing prosthodontics. What is the Opportunity?
The Foundation and Special Projects Coordinator will plan, coordinate, communicate and document all aspects of foundation projects with the express responsibility of integrating multiple streams of work into a cohesive, coordinated plan, and executing the logistics of the plan. The successful candidate will also be responsible for the administrative components of the Foundation, including project budgets, donation processing and database management. More specifically the successful candidate would be responsible for the following:
Transform goals, objectives, and requirements of funded projects into project plans that clearly outline scope/expectations, timeline, budget, and resource utilization.
Partner with the development consultant in the process of developing new initiatives.
Serve as primary staff liaison to all project funders, development consultant, volunteers/working groups, university contacts, and other stakeholders and ensure effective communication among all stakeholders.
Manage volunteers and team mates (non-direct reports) to provide leadership and expertise for each project.
Coordinate contract/MOU development with development consultant for project funders.
Assist in developing the annual budget & actively participate in entire budget process in collaboration with other departments keep track of income and expense activities.
Work with, and provide regular reports to, senior leadership and ACPEF Board and attend Board meetings as needed.
Coordinate and implement all project logistics including scheduling meetings, coordinating agendas, and developing and distributing presentation and/or print materials.
Develop and implement processes and communication strategies to track, manage, and successfully ensure milestones are met and project plans are successfully completed
Maintain all individual and corporate donor and prospect files including the management of the donor acknowledgement process.
Track, process, and report on all individual, corporate, and foundation gifts and pledges. Ensure accurate record-keeping of contributions and timeliness of donor acknowledgments in donor database.
Assist in reconciling donations, pledges and accounts receivables within financial reporting system.
Coordinate and implement donor communications.
Perform other duties as assigned.
Interviews: Will be held on a virtual basis. Final interview may be held in person.
Job Location: Currently all positions are remote with visits to the office as needed. ACP plans to adopt a hybrid work environment, but has not yet done so because of the pandemic. The candidate must reside within a reasonable distance from downtown Chicago due to the need to come into the office. Relocation assistance for out of state candidates will not be provided.
What is required?
The successful candidate would possess the following:
Bachelor’s degree or equivalent amount of experience is required
Minimum of 2 years’ general administration experience including some project coordination/management
Association experience is a plus
Proven experience and comfort in working with volunteer leadership is required
Volunteer Management and/or association member relations experience is a plus
Self-starter with skills to work independently and collaboratively in a dynamic, complex environment
Detail oriented and proactively responds to deadlines
Excellent interpersonal, oral, and written communication skills
Personal poise and tack for executive, corporate, and donor contact
Ability to anticipate next steps, proactively seeks clarification or further direction
Critical thinker with skills and experience in dealing with ambiguity, creative problem solving, and priority setting
Exemplary organizational skills
Must be able to set, execute, and follow through on deadlines and timetables
Highly committed to producing accurate, quality work in a timely manner
Some travel, evening and weekend work may be required (Approximately 10%)
