The Program Assistant III works under the direction of the Senior Outreach Manager, referring project/study issues on and/or soliciting guidance as necessary. Special skills and knowledge are applied in coordinating research and administrative activities and in carrying-out tasks related to research at the Vaccine Trials Unit. May coordinate the work of other project/study staff.
Front Desk reception - including greeting participants, answering phone calls, making appointment reminders, compensating participants and coordinating sample deliveries to various labs at Fred Hutch and other groups including Harborview, UW Lab, Bloodworks NW, etc. Also, responsible for maintaining good communication between other staff members. May include constant updating and responding to Team chats.
Coordinate Outlook appointments including scheduling for active participantsvisits within the required protocol time frame, reviewing appointments on clinician calendars and updating appointment notes.
Perform administrative duties: filing, ordering keeping inventory of clinical and recruitment supplies, reconciling invoices and receipts, processing study participnts lab results, and study brochures, filing charts, scheduling meetings and updating materials related to studies.
Data entry/check within clinical data systems.
Maintain communication and correspondence with active participants and prepare lost to follow-up tracking of missing visits. Utilize preferred communication modalities for participantswill include using texting app, email and calls.
Work with the Fiscal Manager with reconciling financial expenditures and purchases, budget and allocation of clinical research funds.
Assist outreach team with communicating with potential participants and updating records in centralized REDCap database. Help with ordering supplies and coordinating various community events.
Train new employees on front desk administrative responsibilities.
Coordinate activities and setup for study-related meetings.
MaintainTraining in Health Insurance Portability and Accountability (HIPAA), Blood-Borne Pathogens (BBP), Packaging and Shipping Diagnostic and Biological Samples, and Good Clinical Practices (GCPs), Cardiopulmonary Resusitation (CPR). Additionally, will complete training related to specific research protocols as required by Sponsors.
Participate in regular staff meetings while compiling, transcribing, and disseminating the weekly meeting minutes.
Maintain Operational manual that describes duties related to the Program Assistant duties.
Pack and process laboratory specimens for research and coordinate communication between lab and delivery entities.
Maintain logs and records for shipping diagnostic blood and mucosal samples.
Maintain clinical supplies and prepare rooms for blood draws and protocol-specific procedures for clinicians and bridge communication between the clinic and the laboratories about samples and supplies.
Monitor and provide Outlook calendar support for clinicians, pharmacy and receiving laboratories of accurate specimen collection information on a daily basis.
Provide support with the laboratories including review of specific shipping processes for corrective action activities and tracking solutions, initial site quality control report review, reply and tracking.
Assist clinicians with coordinating administrative operations for evening clinic.
A high degree of organizational and coordination skills, logical thinking and close attention to detail
Excellent communication and interpersonal skills, ability to work in a team and independently
A Bachelors degree in biological, social or clinical science preferred; experience in a clinical or laboratory setting may be substituted for a degree.
Computer skills including Microsoft Outlook, Teams, Word and Excel
Willingness to be flexible in working hours, including working some early mornings and evenings.
