HBI is currently seeking a dynamic and highly organized Executive Coordinator in its National Office located in downtown, Washington, DC.
In this role, you will:
Assists the President/CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active Outlook calendar of appointments, completing expense reports, completing timecard for CEO, composing and preparing correspondence, arranging travel plans and compiling documents for meetings.
Support the CEO and AVP of Administration with developing, planning, executing and debriefing for prominent events and special projects.
Assist the AVP of Administration with planning board meetings, ET meetings, and other large-scale events.
Proactively and clearly communicates up and down organizational channels, as appropriate. Communicates appropriate level of details, using a variety of media (email, verbal, non-verbal, and written)
Assists AVP in their role as liaison to the Board of Trustees and management of all Board activities which includes coordinating Board meetings and dinners; new Board member orientations, arranging hotel accommodations for Board members, processing travel reimbursement requests, scheduling committee meetings and compiling, assembling and distributing Board meeting materials.
Answer phones and directs calls as per established procedures/executive preference. Transcribes confidential dictation. Copies and distributes to appropriate individuals.
Opens, sorts and distributes mail/office documents, as appropriate, in such a manner as to ensure that important documents receive priority attention
Manage schedule of conference rooms in the HBI office, orders necessary supplies for office
Performs other duties as assigned.
BA/BS in a related field or an equivalent combination of training, skills, and experience
At minimum of 3-5 years of experience providing support for upper-level management in an organization.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Strong interpersonal skills and demonstrated ability to build relationships with stakeholders, including staff, board members, and external partners, donors.
Advanced Microsoft Office (Word, Excel, and PowerPoint) skillset.
Outstanding verbal communication and presentation skills
Ability to work independently and with professional discretion
Effective time-management skills with ability to ensure timely delivery of priorities.
Strong project management and event planning experience.

High degree of responsibility, initiative and professionalism
