Summary: The Territorial Support Unit supports initiatives across ASTHO???s portfolio on a wide variety of public health topics with a focus on the Insular Areas. The Unit coordinates ASTHO???s projects and activities to meet the specialized needs of public health agencies in the Atlantic and the Pacific and ensures alignment with ASTHO???s strategic priorities. The Coordinator will provide administrative support to the Territorial Support Unit???s portfolio.
??? Provides administrative support to the Territorial Support Unit, including helping organize and prioritize time-sensitive assignments and deliverables, coordinate required program updates, and monitor the completion of tasks and assignments.
??? Performs general administrative support such as updating Excel worksheets, PowerPoint presentations, monitoring for errors and completing quality checks, troubleshooting computer problems, photocopying, and mailing.
??? Coordinates the logistics for in-person and virtual convenings (e.g., meetings, conference calls, webinars, etc.), including assisting with meeting planning and technological support, scheduling, agenda development, and participant follow-up.
??? Maintains contact and distribution mailing lists, coordinating updates with relevant staff and platforms within ASTHO.
??? Coordinates process to collect information from Territorial Support Unit staff for internal weekly reports to the Executive Leadership Team and quarterly reports to the ASTHO Board.
??? Performs tasks involving writing reports, preparing contract files, memos, meeting minutes, and professional correspondence for distribution; edits documents as required.
??? Conducts research and prepares briefing materials and/or written summaries of matters of interest to the Territorial Support Unit.
??? Arranges staff and member travel and prepares related itineraries, expense reports, and reconciliations. ??? Performs basic accounting tasks, check requests, and reimbursement submissions.
??? Works closely with operations teams to ensure accurate and timely development of contracts and payment of invoices.
??? Assists with ASTHO website updates for the Territorial Support Unit.
??? Organizes and maintains a system to efficiently store files on Microsoft Teams, SharePoint, and network drives.
??? Manages individual and team calendars and inboxes.
??? Shares in workload with staff to complete any job that has priority at the time.
??? Represents ASTHO at local, regional, federal, and national meetings and provides on-site support when needed.
??? Participates in after-hours meetings, conferences, and other functions to service members in the U.S. Affiliated Pacific Islands.
??? Performs related duties as required.
??? 3+ years in a similar position providing administrative/office and customer service support.
??? Experience working for a membership association or public health organization preferred.
??? Excellent computer skills in Microsoft Office applications and webinar platforms and the ability to learn new software.
??? Excellent interpersonal skills and written communication skills.
??? Excellent organizational skills to support multiple projects and complete assigned tasks in a timely manner.
??? Ability to work independently, in a team environment, and across different teams.
??? Ability to work in a virtual setting and adapt to changing environments.
??? Flexibility to participate in calls after normal business hours with project participants in the U.S. Affiliated Pacific Islands. Hours will fluctuate based on needs, and the team will work with this position to adjust the schedule as needed.
??? Ability to travel occasionally.
??? Bilingual in English and Spanish is a plus.
