The Institutional Review Office (IRO) helps maintain the Fred Hutch human research protection program (HRPP).
The IRB Admininistrative Assistant II position is a full-time, permanent position to provide administrative support and initial screening of researchers submissions to the Institutional Review Board (IRB). This position includes repeated, high-volume, detailed clerical work; word processing (MS Word and Excel); data entry; initial screening of IRB submissions; frequent communication with study teams to resolve issues; and special tasks as necessary to support the staff and functions of the Institutional Review Office (IRO). This position demands 1) the ability to work independently yet as part of a team; 2) a service orientation and respectful, collaborative relationships with all stakeholders; 3) very high attention to detail and follow-through; and 4) commitment to meeting regulatory requirements and carefully documenting the processes for doing so. The IRO is a fast-paced setting with high demands balanced by a collegial atmosphere and wide opportunities for learning.
Administratively Support IRB Committees
Manage and distribute incoming and outgoing email for the IRBs
Date stamp and electronically store all incoming IRB submissions (new applications, modifications, continuing reviews, closures, and safety reports)
Pull and re-file folders and maintain proper organization of file drawers when filing
Ensure that reminder notices of IRB continuing review are sent to investigators prior to expiration
Develop the Expedited Agenda for IRB Meetings and review it for errors
Conduct Microsoft Access queries as needed
Process IRB documents within time frames specified by IRB policies
Initial Screening of IRB Submissions
Review submissions for completeness and compliance, using screening forms, historical records, and other resources
Gather additional data as necessary from researchers, study staff, and others
Advise researchers of submission problems and suggest solutions
Seek assistance from the Administrative Coordinator or IRB Analysts as necessary to complete screening process or remedy problems
Independently perform regulatory analysis of low-risk submissions to the IRB, such as funding Modifications and data analysis Continuing Review Reports
Manage screening activities within time frames specified by IRB policies
Preparation for and after the IRB meetings
Assist in IRB Meeting logistics including the following:
Link all documents and materials for full review into eReview, the electronic IRB review system
Post electronic copies of supporting documentation (i.e., protocols, consents, IBs) to eReview, as directed by IRB Analysts and the IRB Operations Manager
For in-person IRB meetings, set up and take down all materials for the meeting, such as laptops, A/V support, IRB review criteria poster
Administratively support IRO Office
Pull and re-file IRB folders and maintain proper organization of paper file drawers, including managing any file shifts when necessary
Print and file approved submissions
Do occasional word processing or organizational tasks as necessary to support IRB Analysts and IRO management
Perform other related duties as requested by IRO management
Provide back-up coverage to the Administrative Assistant II, Funding and Training Support role
Bachelors degree with a minimum of three years administrative experience or 4 years of progressively complex relevant experience may substitute for educational requirement, high school degree or equivalent is required
Must demonstrate exceptional organizational and communication skills
Attention to detail is a must
Proficiency in word processing and previous experience with MS Office programs (Word, Outlook, Access, and Excel) required
Previous experience with Adobe Acrobat or similar program desired
Ability to lift 25 pounds
Ability to read documents
