The Business Services Director serves as the point of contact for all financial transactions within the AAPD. The Director administers and implements AAPD financial policies and procedures, and works with the Chief Executive Officer in developing and implementing annual budgets.
Maintains all AAPD accounting records, including accounts payable and accounts receivable for membership (dues, meeting registration, miscellaneous payments), editorial (advertising, reprints, etc.), sponsorship income, and non-dues revenues.
Manages payroll and the relationship with AAPD’s payroll vendor Paychex. Prepares required IRS and other government agency reporting. Works closely with Governance and Operations Manager on coordinating payroll in relation to vacation/sick leave and other relevant employment policies.
Analyzes the effectiveness of association financial systems and procedures, makes recommendations to CEO, and implements all revised or updated procedures.
Manages payments, and related financial information on all AAPD benefit plans, such as retirement, health, dental, life, and disability, in coordination with the Governance and Operations Manager.
Provides monthly financial reporting to the CEO and Budget and Finance Committee. Prepares detailed monthly income and expense statements for all AAPD departments to assist in budget performance tracking.
Oversees processing of all AAPD financial transactions, including invoices and expense reimbursements.
Manages interface and exchange of accurate data between the AMS system and the Great Plains software accounting system.
Participates in budget and preparation, including work with outside accounting firm and development of “dashboard” financial analytics for the Budget and Finance Committee and Board of Trustees.
Supervises and provides necessary documents for the annual audit performed by outside accounting firm.
Supervises and provides necessary documents for the IRS form 990 filing prepared by outside accounting firm.
Maintains financial information on inventory, supplies, equipment maintenance, and building services, and assists the Governance and Operations Manager in the analysis and management of these resources.
Maintains financial information and analysis on all outside vendors for goods/services, and assists the senior management team in the review and evaluation of such services.
Stays apprised of current trends, issues, and best practices in non-profit association financial management, including financial software and related technologies.
Staff Liaison to: Budget and Finance Committee of the Board of Trustees
Bachelor’s degree and at least 8 years’ experience in non-profit organization accounting, budgeting, and finance. Master’s degree and CPA status preferred.
