The Association of Diabetes Care & Education Specialists (ADCES) is currently searching for an Executive Assistant. If you answered yes to the questions above, this may be the position for you!
The Executive Assistant will provide administrative support for the CEO and ADCES Board of Directors. This position is responsible for managing time and resources of the Executive office to reflect the professional image of the Association.
Manage telephone communications for the CEO by screening calls, taking messages, maintaining contacts, responding to inquiries, and redirecting calls to other staff members as appropriate. Support written communications by drafting correspondence and coordinating follow-up as directed.
Prepare for meetings and distribute agendas and supporting materials as requested. Prepare the CEO for meetings by conducting research and preparing meeting packages.
Work with Meetings Services Department to carry out logistics for quarterly Board meetings, including scheduling meetings, booking locations, inviting participants, compiling and sending out Board materials, and ensuring that all presentation materials and virtual technology are ready, and in working order.
Take minutes at Board and Governance Committee meetings as needed and distribute to attendees. Coordinate committee meetings as assigned.
Oversee all activities with Board-related voting. Work with outside vendor for electronic voting site for any bylaws changes and to ensure all deadlines are met.
Must possess 5-7 years prior administrative experience, preferably at Executive level.
Previous Association experience strongly preferred.
College courses or degree in applicable field preferred.
Prior experience coordinating both in-person and virtual professional meetings.
