The American Veterinary Medical Association (AVMA), the national nonprofit association established in 1863 that represents over 97,000 veterinarians working in private and corporate practice, government, industry, academia, and uniformed services, is seeking an Administrative Assistant to join our Office of the Executive Vice President, located at our Headquarters office in Schaumburg, Illinois – a northwest suburb of Chicago. The AVMA’s mission is to lead the profession by advocating for its members, and advancing the science and practice of veterinary medicine to improve animal and human health.
Reporting to the Director of Governance Administration, the Administrative Assistant will provide logistical and administrative support to staff of the Office of the Executive Vice President, including AVMA’s CEO, along with logistical support for the Officers of the Association. Logistical and administrative responsibilities include (but are not limited to) travel and lodging arrangements, maintaining a travel/meeting schedule, processing expense reports, etc. This position will also work closely with senior leadership and AVMA’s Board of Directors to coordinate and finalize meeting logistics, travel arrangements and other related duties.

Associate degree or equivalent work experience is required
Minimum of 2 years of administrative office, with demonstrated meeting planning and logistics coordination experience; association experience is highly preferred
Strong customer service (both internal and external) skills
Excellent communication skills (interpersonal, written and verbal), with the ability to effectively interact with all levels of staff within the AVMA, volunteers and public
Proficiency with spreadsheets, database management, Concur and other software
Strong project management and organizational skills that reflect the ability to perform and prioritize
Ability to multi-task seamlessly with excellent attention to detail, in a fast-paced environment
Self-motivated team player
Flexibility to work outside of normal business hours and on weekends; and travel on behalf of the Association, as needed
