The Shared Resources (SR) Department of Research Administration (RA) at Fred Hutch supports the faculty and research community through interdisciplinary sciences to accelerate innovation discovery by enabling scientific collaboration through unparalleled infrastructure, including the Shared Resources supports.
The Shared Resources Administrative (SR Admin) team provides Core facilities with business support in operations, fiscal management, billing, and administration. Under the direction of the Billing Supervisor, the Billing Specialist assists the Shared Resources (SR) department by processing all scientific invoices Center-wide. They are responsible for handling and processing weekly billing data from SR and divisional cores across multiple platforms, maintaining and troubleshooting numerous databases, and work with several different departments on user access and payment issues. This position has the potential to be a hybrid work model.
The successful candidate will report to the Shared Resources Billing Supervisor and work as a team member for billing, accounting, and administrative. Judgment is used daily in interpreting policy, representing the department or program head, and in interacting with Center staff and outside organizations.
Process billing charges from numerous cores throughout Fred Hutch for weekly billing upload to Accounting
Submit invoices in ARIBA portal and process credit card payments in Global.
Maintain account creation requests for consortium and external customers for invoicing.
Process billing data submitted from Shared Resources and Divisional cores for weekly billing submittal to accounting.
Work with Accounting departments and Research Administrator to troubleshoot billing errors.
Assist with the collection effort of delinquent aging accounts.
Perform administrative duties to include answering and directing phone calls, providing information and resolution by answering questions and requests that come in through the shared inboxes, SRBIlling, and SRILAB.
Interpret and apply administrative policies to the work unit and ensure that systems are established within the office to protect sensitive or confidential information.
Manage and maintain customer relationship while facilitating prompt payment
Coordinate training set-ups and registration for Shared Resources Cores Billing training events.
Create and maintain a filing system, both electronic and manual, following institutional policies and procedures.
Develop and update administrative tasks to increase efficiencies.
Assist in gathering information and distributing departmental materials.
Carry-out special assignments or projects that are specific to Shared Resources

High School diploma or GED
Two years of administrative experience
Strong computer and word processing skills, including 10-key.
Robust attention to detail and organization
Quick learner with a sense of urgency
Proficiency with a variety of software packages - MS Suite, FMIS, Sharepoint, Adobe

The Seattle Cancer Care Alliance was incorporated in 1998 as a separate, jointly governed non-profit that included the cancer programs of three partners. Seattle Cancer Care Alliance is a cancer treatment center that unites doctors from Fred Hutchison Cancer Research Center, University of Washington Medical Center, and Seattle Children’s. The purpose of this organization is to provide state-of the-art patient and family centered care; support the conduct of cancer clinical research and education; enhance access to improved cancer interventions; and advance the standard of cancer care regionally and beyond. The Seattle Cancer Care Alliance is the only NCI-designated comprehensive cancer center in the Northwest, and according to the National Cancer Data Base, Seattle Cancer Care Alliance patients in general have better survival rates than patients treated at other cancer treatment centers.
