The Program Specialist assists in the overall content coordination and planning of logistics for the CNS Annual Meeting, joint section meetings and other CNS meetings. Specific duties include content and faculty coordination, abstract management, registration management, budgeting, invoice reconciliation.
Essential Duties and Responsibilities
The essential duties and responsibilities of this position include, but are not limited to the following:
Coordinates and plans content and logistics for CNS, joint section and other meetings.
Coordinates content documentation, faculty/speaker correspondence, logistics, budgeting and ancillary services for CNS activities.
Handles collection of all speaker information and organizes speaker logistics.
Administration of the CNS faculty services center.
Prepares correspondence and serves as primary liaison for all faculty/speakers/moderators to include program invitation, acceptances/declines, disclosures, and ongoing correspondence for educational activities including but not limited to Annual Meetings, courses, special education initiatives and CME activities.
Coordinates logistics between course directors, faculty, corporate supporters and suppliers for the Annual Meeting Practical Courses and special courses.
Coordinates the abstract process including: opening, closing, call for abstracts, selection, poster submission process, poster finalization communications, and printing, and history tracking. Updates and prepares all specifications, forms, and letters in connection with the call for abstract process for all programs assigned. Supports production needs for Scientific Program listing in NEUROSURGERY, official journal of the CNS, in conjunction with publisher staff.
Coordinates production of preliminary programs and final program books in conjunction with the Program Manager, and other CNS staff for education activities.
Oversees the collection of, review, and distribution of course handout materials from faculty.
Liaison to the Scientific Program Committee.
Provides and updates content for mobile meeting guide.
Assists with the function-space assignment process and menu recommendations for all programs assigned. This is inclusive of food and beverage and audiovisual coordination.
Responsible for day-to-day operations and communications for housing and registration procedures and coordination and all associated weekly reporting documentation of smaller courses.
As project lead, tracks history of meetings and courses and conducts a full post-event report for committee.
Coordinates budget development and invoice reconciliation as required.
Pre-meeting printing, binder composition for general on-site needs.
Onsite meeting coordination.
In the absence of the receptionist and/or back up, answers, screens, and transfers incoming phone calls as needed.
Education, Knowledge, Skills and Abilities
Minimum of three years’ experience, preferably in a medical/physician association.
Associates/Bachelor’s degree preferred.
Strong computer skills required, including expertise with Microsoft suite of software: Outlook, Word, and Excel.
Proficient in use of internet.
Experience with database management.
Familiarity with ACCME accreditation criteria and standards a must.
Ability to effectively interact and collaborate with volunteer leaders.
Ability to manage multiple projects and meet deadlines.
Work with minimal supervision and exercise independent judgment and tact.
Excellent writing, grammatical, and proofreading skills required.
Strong interpersonal and oral communication skills required.
