American Association of Neurological Surgeons is actively hiring a Facilities Manager to join our Team in Rolling Meadows, IL. This opportunity will allow you to promote the highest quality of patient care and advance the specialty of neurological surgery. This position is responsible for making sure that the AANS headquarters office in Rolling Meadows, IL and its operational functions meet the needs of the individuals that work within the building. The Facilities Manager is accountable for services such as cleaning, security and parking, to ensure the surrounding environment is in a suitable condition to work.
Manages operational functions and key services to maintain a suitable work environment for AANS office building in Rolling Meadows. Drafts and implements preventive maintenance schedules for building and equipment including, but not limited to, HVAC, plumbing, cleaning services, landscaping, etc. Retains proper documentation for maintenance schedules and repairs.
Directs building safety plans and protocols; ensuring security systems are operational, fire systems are routinely inspected and maintained and routine safety drills are conducted with building tenets. Ensures safety standards are followed throughout the facility and that appropriate supplies are on hand to support in office safety protocols.
Serves as primary point of contact for office vendors and suppliers. Manages vendor services, contract negotiations and routine audits to ensure services are carried out optimally. Acts as liaison between employees and any outside contractors needed to resolve specialized problems. Ensures vendors comply with insurance requirements; coordinating all claims as required.
Handles ingoing and outgoing mail and shipments for AANS HQ office. Ensures receipt of incoming mail and packages (UPS/Fed-Ex), coordinates outgoing mail and schedules package/shipment pick up. Distributes incoming mail and shipments to AANS staff.
Manages office and storeroom supplies. Maintains inventory of supplies; reorders and stocks items to replenish in office supplies when needed. Oversees office furniture preservation, repairing or reordering as needed.
Serves as primary point of contact for office tenant, neighboring companies and City of Rolling Meadows (fire, police, etc.) Schedules building inspections, as needed. Participates on emergency preparedness planning team.
Assists in development and manages budgets related to current and future needs of the building and related operations. Supports development of the capital budget accordingly. Processes vendor invoices to ensure timely payment for services rendered.
6-8 years of relevant experience.
• Associate’s Degree preferred.
• Strong attention to detail with ability to prioritize responsibilities and work independently.
• Ability to read, understand, follow and enforce safety procedures.
• Excellent organizational and communication (written and verbal) skills; interpersonal skills to interact with all levels of employees, vendors and partners.
• Proficient in Microsoft Office suite or related software necessary to create and maintain reports, logs and other pertinent documentation.
• Ability to prioritize and multi-task responsibilities to perform well in a fast-paced environment

Ability to lift and / or move up to 50 lbs.
