Reporting to the Director of Alumni Relations, the Assistant Director of Alumni Relations will work as part of a dynamic alumni relations team, as well as with all areas of the Development and Alumni Relations Office, to support engagement and fundraising efforts. This position will work within a collaborative framework and share responsibility for planning and coordinating initiatives, programs and events intended to engage alumni and parents in the life of the school and cultivate and inspire giving.
Key responsibilities include:
Programming and Events
Work in collaboration with other members of the Development and Alumni Relations Office to develop and execute an annual schedule of programs and events that meet strategic broad based engagement goals and objectives, as determined by Department, School, and AAEC leadership.
Establish and build relationships with a wide range of alumni and parents locally, regionally, nationally, and internationally with an interest in supporting the school through event-based engagement.
Plan and execute on- and off-campus events of interest to alumni and parents across decades and geographic regions.
Oversee comprehensive event logistics (including invitations, guest lists, and event page builds), catering, entertainment, and facility requirements. Manage relationships with venues/vendors/ caterers and other service providers.
Work with gift officers and alumni and parent volunteers to staff programs; represent the school and its broad goals and mission at various events and programs.
Assist with the overall execution of Reunion Weekend each year; oversee planning and logistics involving facilities and catering; support the Director of Alumni Relations with programming and involvement of class volunteers and committees.
Alumni Association Executive Committee (AAEC)
Support the Director of Alumni Relations as secondary liaison to the AAEC; develop meeting agendas and materials, create presentation slide decks, draft annual letters and honoree citations, and other efforts as needed.
Support regional alumni club and affinity group activities as needed.
Draft briefings and other materials required to support events or programs, in collaboration with Development Communications and other department staff and School leadership.
Steward the production of printed materials and communications produced in support of Reunion Weekend (Reunion Schedule, class bio-books, posters and directional signage, class letters, social media posts, etc.).
Design and send email invitations and communications related to events and programs.
Oversee distribution of obituary notices to class members via email.
Review and edit Bulletin content as needed.
General Office Support
Oversee the development, production, and procurement of creative gift items that can be shared with host and attendees at events and programs and be given as donor gifts.
Support donor relations and stewardship operations with events to appropriately acknowledge key donors to the school.
Assist with other Development office initiatives as assigned by the Chief Development Officer and the Director of Development and Alumni Relations.
2 - 5 years of experience in event planning, preferably in an educational or nonprofit context; experience with reunion planning a plus.
Superb verbal and written communication skills and proofing abilities.
Exceptional interpersonal skills with the ability to engage and motivate alumni of all ages and backgrounds.
Excellent organizational skills and attention to detail.
Proficiency with Microsoft Office Suite is expected. Knowledge of additional software programs preferred.
Ability to learn new software, especially Sage Millennium, the Development Office’s data management system which is used to track and record alumni information.
Experience using social media outlets professionally to engage constituents and generate interest within specific demographics preferred.
Ability to work independently as well as cooperatively as part of a team, and within a fast-paced and deadline driven environment.
Must be willing to travel and work evening and weekend hours as needed.
