We are seeking a Mailroom Clerk who will be responsible for overseeing and participating in the operations of the Center for Talented Youth mail services including messenger services, the collection of mail/parcels, processing and distribution of mail, the distribution and delivery of printed materials and special courier, fax and on-line courier services, shipping and receiving.
Note, this is a temporary position. Schedule is 15-25 hours per week. 2-3 days per week (Tuesday-Thursday), Duration is expected of 3-4 months. This position is not benefits eligible. This position is not eligible for visa sponsorship.
Specific Duties & Responsibilities:
Sorts all incoming mail for distribution and scan mail for staff who are working remotely.
Collect, process, and deliver outgoing mail and overnight express packages to the loading dock and courier pickup locations by the set time established for such services.
Responsible for receiving and delivering shipments and supplies from the various vendors to the CTY Staff.
Responsible for placing service request through Transwestern for any issues within the space as it relates to Janitorial, offices being too hot or cold, carpet cleaning, security, etc.)
Store departmental supplies, documents, and merchandise in the storage room. Monitor supplies and place request for new supplies as needed.
Responsible for placing request for Iron Mountain pickup.
Process end of the month USPS reports for the finance department.
Responsible for providing Invoices from the couriers FedEx, DHL, Wex Gas, Iron Mountain Ricoh, Pitney Bowes) for payment by finance department.
Troubleshoots mailing equipment and copiers, and responsible for placing service request, when needed.
May assist with coordinating and setting up the conference room for meetings and various functions.
Thorough familiarity with current postal regulations and modern techniques and equipment used in the processing of mail.
Performed work in accordance with established University policies, procedures, and national and international postal regulations.
Maintain photocopiers, fax machines and postal equipment.
Oversee pantry area, including stocking supplies and handling Kcup recycling.
Oversee company car for repair/maintenance and make recommendations to upgrade when necessary.
Provide effective customer service for all departments within the CTY organization with mail needs, research mail service problems, provide information on mail services, advise on procedures for UPS, USPS, DHL and Fed-Ex deliveries and pick-ups.
Navigate the Pitney Bowes Ascent Accounting system too efficiently and accurately process outgoing USPS, DHL, Federal Express and UPS mail pieces, letters and parcels, generate reports for accounting purposes, develop and implement policies and procedures to match with the current facility.
