The Council for Christian Colleges & Universities (CCCU) seeks a proactive, enthusiastic team member to join our small conference team as the Conferences & Events Coordinator. This entry-level position will support the Senior Director of Conferences & Events in executing our portfolio of conferences and events from conception through post-event reporting and will serve as the main producer for our webinars and virtual events. The Conferences & Events Coordinator will support all conference and event preparations including speaker coordination, packing and shipping of supplies, registration support, and other tasks as assigned by the Supervisor. The Conferences and Events Coordinator will work in Washington, DC, with some occasional travel required.
The CCCU is preparing to host the 2022 International Forum, an event hosted every 4 years in lieu of stand-alone conferences in that particular year. We anticipate 1,000 plus attendees and it will be the first major in-person gathering for the organization since February 2020, so the financial and intrinsic success of the program is paramount. The new colleague should be prepared to jump in to ensure the success of this event. The conference team consists of this position, the Senior Director, and a part-time sponsorship coordinator.
A successful candidate will have 1-2 years of meeting and event planning experience, ideally including delivery of in-person, virtual, and/or hybrid meetings. Successful candidates will be self-starters, proactive, and ready to learn. Project management experience is a plus. Good communication and relationship management skills are a must. Candidates should be able to communicate with people at all levels of an organization with confidence. The Coordinator must be able to travel February 5-13, 2022 for the International Forum.
Virtual Work Note: Due to COVID-19, all staff are currently working remotely and will be until September 2021. Candidates must be able to work effectively in this virtual environment and be able to transition to working from the CCCU’s DC office at least 3 days per week.
Assist Senior Director of Conferences & Events with planning the CCCU portfolio of conferences and events, including but not limited to:
Working with venue and vendor management
Handling event orders for food & beverage, A/V needs, room set-up, etc.
Assisting with all registration related questions, producing and preparing name badges, etc.
International Forum tasks will include:
Assist with execution of convention center & key hotel logistics on-site
Serve as liaison and onsite point of contact for speakers and performers
Coordinate convention packing processes
Assist Supervisor in staff management onsite including helping draft staff assignments, tracking staff travel, and serving as point of contact for staff onsite
Coordinate on-site convention materials and supplies
Serve as on-site registration back-up
Coordinate post-Forum staff debrief meeting and outing
Serve as the primary backup point of contact for conferences and events in the absence of the Senior Director of Conferences & Events
Serve as main coordinator and producer for all virtual webinars and events working with appropriate staff to develop content, create and track registration, manage speakers, create a run-of-show, run webinars on Zoom, and provide appropriate post-event follow up for speakers, staff, and attendees
Oversee preparation of pre-conference shipments and supplies
Coordinate speaker logistics by tracking speaker status, serving as point of contact for speakers for CCCU conferences and events, coordinating pre-event planning phone calls as needed, providing programming, travel, housing, and audio-visual assistance as needed, and ensuring appropriate thank you and follow-up happens post-event
Provide registration support by tracking registrants and sponsorships for all CCCU conferences and events, solving login issues or other online registration issues, issuing refunds, processing payments manually and sending confirmation receipts (when needed)
Facilitate weekly conference revenue, registration, and roster reports via the CCCU database (iMIS) as needed by Senior Director of Conferences & Events, Sponsorship Coordinator, or other staff
Help develop creative content for e-marketing and social media
Upload all content and serve as point-person for Guidebook and/or other apps used for conferences & events
Produce and upload content for all PowerPoint presentations for CCCU conferences & events
Design & order CCCU swag items (lanyards, tablecloths, sponsor ribbons, name badges, etc.) for conferences and events
Manage materials for Leadership Development Institutes (print handouts, laminate door tags, etc.)
Maintain the Industry Calendar of Events
Assist with posting web content for the conferences and events
Assist the Senior Director of Conferences & Events in post-event follow up including creating surveys and pulling reports, writing thank you notes, processing check requests, etc.
Provide support to the Senior Director of Conferences & Events in coordinating special events, scheduling meetings, and other administrative support
Other duties as assigned by Supervisor.
Persons applying for the position should:
Have a strong appreciation for the Christian mission and purpose of the CCCU and its GlobalEd programs
Affirm the Nicene Creed
Have 1- 2 years of conference and event planning experience
Be a strong team-player with excellent communication skills (oral and written)
Be able to travel
Possess organizational, project management, and relationship management skills
Ability to work under the pressure of multiple deadlines and conflicting priorities; and demonstrate good judgment
Be detail-orientated, as well as flexible.
Cooperative, supportive, and “can do” attitude

Experience working with databases; iMIS experience preferred
Experience working at an association or nonprofit a plus
Experience managing and running webinars
Be a proactive and action oriented. CCCU has a small staff, and every employee needs to take full ownership of their role.
Be excited at the prospect of working with a small staff and be a great multi-tasker. Tasks and responsibilities areas are not at all siloed.
