The Basic Sciences Division is one of five scientific Divisions at Fred Hutch and is comprised of 29 faculty-led laboratories. The Division is recruiting for a Research Administrator II or III to join our team. The RA Team supports the research of scientists that are focused on understanding the normal molecular functioning of cells as well as the disruption that causes complex diseases like cancer and HIV infection.
This position will be one of a current team of 10 RAs supporting the Divisions growing faculty. The Research Administrator II works under general direction from a supervisor and partners with Principal Investigators to support lab administration. An RA II proactively provides compliant and effective funding support, budget and regulatory administration and general administrative support for faculty members and their labs. The role requires excellent administrative skills, a customer service orientation, an attention to detail, strong communication skills, and collaboration with colleagues and external partners. The RA III performs the duties of a RA II but has at least two years of experience as a research administrator preferably with principal investigators in a research institution, and carries out higher level portfolio analyses and post award issue issue resolution. After training the position is eligible for hybrid remote work from home with some regular weekly on-campus attendance.
Develop, monitor, track and project complex multivariable budgets
Develop custom report formats to share information with the team/department
Run and analyze reports to identify issues
Approve budgets and expenses following applicable rules and regulations
Work with central administration partners to resolve identified budget and expense issues
Funding Source Administration
Lead the grant submission process by conducting key tasks such as: creation and communication of timelines to appropriate stakeholders, completion of non-technical portions of submission, and oversight of institutional signoff
Perform key post award activities such as: interpreting the notice of award, flagging unique aspects or budget adjustments and monitoring and adjusting the teams commitments across the portfolio of projects based on awards
Interpret Notices of Award with support of colleagues in the Office of Sponsored Research and/or Finance
Manage renewal timelines and ensure completion of regulatory documents in a timely manner
Identify necessary regulatory components of submissions, confirm that required items are in place and escalate issues as needed
Determine impact of and develop implementation plans in response to applicable regulatory changes and/or revisions to Center policies and procedures
May serve as a central point of contact to answer questions, escalating issues as needed
Complete key administrative tasks such as travel coordination, editing CVs and publications, purchasing and maintenance of supplies and equipment
Identify administrative issues for discussion with team and leadership
May manage projects including occasional event planning and management
May act as a resource for other staff
May assist in the training and development of team members

Research Administrator II minimum requirements: Two years of relevant administrative support experience, with pre- and post award grant support
Research Administrator III minimum requirements: Three years of relevant administrative support experience, with pre- and post- award grant support
4 years of relevant research administrative experience is preferred
Highly prefer prior experience with research administration in an academic or non-profit organization
Advanced proficiency with Microsoft Office suite including Teams, Adobe Acrobat
Demonstratable experience and knowledge using Excel for example, using formulas, calculating values in multi-step processes, preparing account reports, and working with pivot tables
Basic understanding of accounting and terminology. Experience managing accounts, account reconciliation, account reporting, etc.)
Excellent written and oral communicator
Demonstratable experience with successful planning, organizing, and prioritizing your work
Interest in working on process improvement with team
Ability to source data from systems and generate customized reports
Ability to edit basic web pages
Ability to navigate complex internal systems and departments
Prior experience or exposure to grant writing/application preparation
Maintain regular work hours
Able to prioritize and perform multiple duties received from multiple sources and/or situations requiring time sensitivity without loss of efficiency or accuracy
Enjoy interacting professionally with a variety of individuals, both internal to Fred Hutch and with external partners

Preferred Experience and Knowledge
Federal grant management experience, preferably with the National Institutes of Health
Knowledge of Uniform Guidance and government funding rules
Experience supporting lab-based research
Knowledge of relevant regulatory guidelines such as compliance with Institutional Review Board processes for human subject and animal use, handling etiologic materials or recombinant DNA, etc.
Working knowledge of Fred Hutch policies and procedures
Certified Research Administrator preferred
