Provide administrative support to the Chief Development Officer/Executive Vice President to include:
Maintain calendar and coordinate meetings for the Chief Development Officer
Liaison with office of VUMC President and CEO to schedule the CEO's time for Development meetings and events
Coordinate the Chief Development Officer's travel; schedule appointments with high-level donors; coordinate research and other briefing materials; create itineraries
Prepare agendas and meeting materials
Exercise discretion regarding the confidential nature of personnel, prospect and donor information and the ongoing initiatives of the Chief Development Officer
Support the Chief Development Officer's development activities with assigned prospects, assisting in management of information, entering contact reports, and follow-up as requested
Document and reconcile expenses for Chief Development Officer
Serve as a resource for general inquiries from staff and external constituents; prioritize and handle requests on behalf of the Chief Development Officer
Build and maintain relationship with key colleagues
Work independently on projects as assigned by the Chief Development Officer
Perform other duties as assigned
Provide administrative support for special projects to include:
Compile data for special projects and reports in coordination with the Analytics & Relationship Management team
Notify data maintenance staff (as appropriate) to new prospect/donor information so that it can be appropriately updated.
Run and distribute recurring tracking reports as requested
Work independently on data entry and projects as assigned by the Program Manager and/or Sr. Director of Analytics and Relationship Management
High School Diploma or GED (or equivalent experience) and 5 years relevant experience required
Bachelor's degree (or equivalent experience)
Demonstrated ability to work successfully with high-level executives
Highly proficient in Microsoft Office, including Excel and PowerPoint
Discretion and ability to maintain confidentiality
Meticulous attention to detail
Excellent customer service skills
Strong oral and written communications skills
Ability to work both independently as well as in team environments
Excellent judgment and sensitivity to interpersonal and organizational dynamics
Ability to meet deadlines
Knowledge of software programs applicable to development, or the ability to learn new programs quickly
Familiarity with development/fundraising or experience working in large, complex organizations such as an academic medical center
