The Executive Assistant and Events Coordinator at West Nottingham Academy directly supports the Head of School and the Associate Head of School to advance the mission of West Nottingham Academy. Reporting to the Director of Marketing and Development, this individual manages special events, operates the school store, and supports development initiatives.
Duties and Responsibilities
Executive Assistant Support
Manage weekly calendars for the Head of School and Associate Head of School in Outlook (Microsoft Office Suite) with a keen attention to detail and proactivity.
Plan and manage campus-wide events like Student Registration, Nottingham Open, Board Meetings, Banquets, HOS sponsored Faculty & Staff gatherings, Convocation, Commencement, and other School Events as scheduled on an annual basis.
Work with maintenance/facilities and third-party vendors during the planning process
Coordinate events and strategy based on the advancement calendar.
Work alongside marketing and development to communicate event details.
Manage the School Store merchandise, shopping block for students, and merchandise shipping (when necessary).
Create the new online store with the Director of Marketing and Development.
Create the Academic Calendar on an annual basis and coordinate dates and times across staff/faculty constituents.
Apply creativity and initiative in recommending solutions to administrative challenges in an entrepreneurial environment that is mission-driven, results-driven, and team-oriented.
Exercise good judgement in a variety of situations, with strong written and verbal communications, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities while striving for precision and accuracy in all endeavors.
Admissions and Enrollment Support
Knowledge of an enrollment management system tool to support enrollment initiatives and function.
Organize, complete, and send admissions files for the Admissions Committee’s candidate review on an ongoing, rolling basis.
Manage enrollment contracts for re-enrollment and new students.
Assist in data management for consultants and enrollment relationships.
Development and Marketing Support
Complete gift receipting and data process for fundraising function.
Assist with receptions, dinners, community activities and small events to support stewardship and cultivation for advancement purposes.
Pull data from Raiser’s Edge for donor communications, solicitations, and stewardship material.
Update Raiser’s Edge (CRM) data to support advancement initiatives.
Support data management in Raiser’s Edge (CRM) and enrollment management tool.
Support data management in Constant Contact (email client).
Proof marketing, fundraising, and admissions material before publishing.
Associates Degree or equivalent experience
1-3 years of experience in nonprofit setting directly supporting leadership and advancement highly preferred.
Experience with Raisers Edge (CRM fundraising tool) and MySchoolApp/SchoolAdmin preferred – or a willingness to learn.
Strong computer skills and experience with Microsoft Office Suite required
Highly organized, flexible, self-motivated; ability to multi-task and manage time efficiently with strong attention to detail.
Ability to work collaboratively in small teams with staff and volunteers.
Strong written and verbal communication skills.
Flexibility in schedule, with some weekend & evening hours required for event-based assignments.
An enthusiastic attitude for education, advancement, and learning required.

We are a 9-12 grade coeducational boarding and day school located in Maryland near the picturesque Chesapeake Bay, an hour’s drive from either Philadelphia or Baltimore.
