The Content, Marketing and Administrative Coordinator demonstrates excellent verbal and written communications, vast understanding of online and printed content, and can multi-task in a fast-paced environment. This person supports the membership, marketing, publications, social media, website, and event activities. This person also provides administrative support in the way of office supplies and primary phone support. Other administrative duties may be assigned by other departments as needed. Key Responsibilities: Journal Production – 6 times a year Manages production of the Journal by: - As directed by the Sales team, initiate invoicing, collections, and revenue reporting
- In conjunction with layout consultant, Director of Membership, Marketing and Services, Sales team and proofreader, ensure all advertisements and content are pre approved by Executive Director and specialty chair and or editorial advisory group before sending to layout consultant
- Proof initial content as received by contributor, leadership, members, staff
- Update Calendar of Events, Job listing and Buyers Guide
- Coordinate with Membership Coordinator mailing list
- Schedule and coordinate with printer on production schedule and mailing
- Coordinate with IT to post issue to website
- Develop an SOP for the journal
- Responsible for solicitation of content sourcing based on editorial theme, maintaining a minimum of 5 articles per issue
- Responsible for outreach to members for content, minimum of 3 per issue
- Responsible for outreach to sections for content, minimum of 3 per issue
- Coordinate with Executive Director and President on their submissions, edit as needed
- Update annually media kit including evaluation of pricing, offerings and processes included
- Work with Director of Membership, Marketing and Services to streamline processes and systems to enhance content including proactive outreach to related organizations for content; sections to report content; members to report content
- Solicit, interview, and edit “Spotlight on an IMSA Member” feature, in per issue
E-Newsletter – Monthly - Coordinate with consultant on updated advertising and placement
- Coordinate with consultant on sold content and story features
- Coordinate with Director of Membership, Marketing and Services, the email templet and update IMSA content areas accordingly (IMSA house ads, Calendar of events, Partner area, house articles)
- Proof final version and send to consultants for approval
- Schedule delivery per production schedule
- Post issue on the website
- Post on social media
- Research other associations e-newsletters to find ways to enhance for better open and engagement rates
Content and Social Media – Ongoing - Work with the Director of Membership, Marketing and Services to create social media calendar in conjunction with our editorial content for the Journal to promote themed content, stories, shares; manage the deliverables on the calendar
- Manage the social media content in collaboration with staff, volunteers, leadership and outside allied organizations; establish communications channels with each
- Manage IMSA’s job board and postings; work to centralize online job purchase and posting
- Manage content updates to website including revamping the membership, publication/resources and events areas
- Post all press releases received on the IMSA website
Marketing – Ongoing - Work with Director of Membership, Marketing and Services to create and manage a 18 month evolving marketing calendar
- Coordinate with Director of Membership, Services and Marketing on collateral development for each major service area of organization
- Research marketing, sponsorship, list purchases, advertising or exhibit opportunities for IMSA to participate in to promote certification and membership
Membership and Communication – Ongoing - Answer all incoming phone calls and direct to staff
- Order all office supplies for staff
- Assist with Forum & Expo as needed for administrative items
- Collaborate with the Director of Membership, Marketing and Services and Membership Coordinator to develop a comprehensive membership recruitment and retention plan
- Develop collateral for membership department including digital and print applications, forms and advertisements
- Assist in setting up iMIS to manage workflows for new and renewing members
- Follow up phone calls to all non paid Active and Associate members (Jan to April)
- In collaboration with the Membership Coordinator, follow up with all individuals that are removed from a PA or SUS member roster to solicit for ongoing membership as an individual
- Manage all bounced back member emails to ensure database has up to date information
- Follow up with returned mail with bad addresses from membership mailings
- Assist with data clean up projects as assigned by the Director of Membership, Marketing and Services that include bounce back emails, returned mail, missing data and other bulk projects
