The Ohio University Foundation was established in 1945 by supporters of Ohio University including and encouraged by then-President John C. Baker. The Foundation is an institutionally-related, nonprofit, tax exempt, 501©(3) organization, and is the repository for all private gifts to Ohio University. The mission of the Ohio University Alumni Association is to connect, inform and serve the University’s diverse alumni and friends in support of the University’s mission and vision. This goodwill is achieved through strong leadership, dynamic programs and effective communication. Reporting to the President & CEO of the Ohio University Foundation/Vice President of University Advancement (CEO), the Director of Board Relations and Asst. Secretary, The Ohio University Foundation, provides support for the administration and management of The Ohio University Foundation (OUF), the Ohio University Alumni Association (OUAA), and their subsidiaries. The incumbent maintains official records of the Foundation and Association, coordinates the scheduling and planning of board and committee meetings, responds to questions and requests for information, ensures compliance with operating procedures and Codes of Regulations, helps to manage and coordinate communication with Trustees and Directors, and serves as a liaison to the secretary of the Ohio University Board of Trustees. The position works closely with the Special Assistant to the CEO on the day-to-day administration and management of the OUF, OUAA, and their respective governing boards. Primary responsibilities include: (40% of time) 2. COMMUNICATION: Serves as primary point of contact for inquiries from various publics. In collaboration with the Chief of Staff and / or Special Assistant to the CEO, corresponds with Trustees, Directors, volunteers, alumni, and Ohio University leadership, faculty, staff, and students engaged in OUF and OUAA Board related activities. Responds to inquiries by board members, tactfully and effectively answering questions and providing information to board members as requested. Serves as liaison to internal and external contacts for OUF and OUAA. Maintains official OUF and OUAA records to ensure compliance with federal state and local regulations. Provides updates for the OUF and OUAA Board of Directors members sections of the Ohio University website. Regularly updates biographic, demographic, and preference data for the Boards in donor database. (15% of time) 3. VOLUNTEER MANAGEMENT & INFORMATION COORDINATION: Serves as Assistant Secretary of The Ohio University Foundation. Oversees that meeting minutes are properly recorded and formally reviewed to create official records. Plans and implements education programs and cultivation events and activities for the Boards—working to build strong relationships with volunteers to advance OHIO. Helps to ensure that members are fully engaged with and well-informed about the OUF, the OUAA, and the University. Serve as the resident expert of AGB OnBoard – the OUF and OUAA's board management portal. Responsible for the ongoing maintenance and updating of the Board Portal, as well as the corresponding training of staff, board members, and others as necessary. Ensures that all meeting details, meeting minutes, bylaws, and pertinent historical information is readily accessible and updated as needed. Serves as historian and expert reference as issues and questions arise. Develops and manages a process for tracking board member and committee assignments. Serves as a resource to members on choosing board assignments. Oversees the preparation of special recognition and gifts for the board. (30% of time) 4. STRATEGY: Assists the Foundation CEO and the Executive Director of the OUAA in reviewing and executing the strategic direction of the OUF and OUAA boards and helps to provide strategic direction regarding board membership, involvement, philanthropic participation, and Codes of Regulations. Initiates and carries out plans and policies authorized by the boards and the resolution of projects and issues agreed upon by the boards. Working with the Chief of Staff and / or Special Assistant to the CEO, drafts policy papers and talking points on behalf of the CEO, prioritizes action items for the CEO, including responses to inquiries by board members; responds on behalf of the CEO as appropriate. (15% of time) Minimum Qualifications: Bachelor's Degree in a related field At least six (6) years of non-profit board relations/volunteer management/or related experience. Superior interpersonal, relationship-building, and written and oral communication skills. Available to work evenings and weekends Ability to travel on occasion Preferred Qualifications: Master’s degree Experience working in higher education One (1) year management experience, can substitute volunteer management. The successful candidate must be self-motivated with an ability to work independently while collaborating across diverse teams. The target range for this position is $51,242 – $58,928. Salary is commensurate with education and experience while also considering internal equity.
