The Donor Relations and Special Events Coordinator will be responsible for overseeing our development operations, and creating and implementing sound strategies to cultivate and steward prospects and donors at all levels, including events and special stewardship and recognition plans for donors. The Coordinator will assist with a range of donor correspondence and communications and will manage routine stewardship and select special stewardship activities.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Development Operations (25%)
Manage donor meeting preparation and ordering supplies for fundraising activities
Prepare correspondence, documentation and proposals as needed
Accurately maintain donor records and prospect information
Prepare all acknowledgment letters and tax receipts
Track and invoice all pledge payments
Assist with creating reports needed by the development team
Assist with gift processing as needed
Perform administrative duties as needed
Event Support (40%):
Plan, execute, and staff in person and virtual events on behalf of Academy of Hope Adult Public Charter School, including: discovery and cultivation events, National Volunteer Appreciation Week, Adult Education and Family Literacy Week, Leaders of Hope Council meetings, AoH tours, and other special events throughout the year
Assists with planning documents (show flows, contact sheets, etc. invitations and lists, mailings, responses, and guest lists and maintains the records of donors and prospects in Donor Perfect as it specifically pertains to events
Drafts various event-related correspondence and materials and coordinates mails, blast e-mails, and schedule virtual events
Manage day-of event execution and manages nametags, place cards, and table cards, and staffs the registration table at events, as assigned
Look for best practices at other organizations and offer suggestions for improving processes and activities
Donor Recognition and Stewardship (30%)
Assist with research and coordination of special appreciation gifts and events for donors who have demonstrated an extraordinary commitment to AoH
Coordinate, plan, and oversee routine maintenance and stewardship for individual and institutional donors, including endowment stewardship reports and endowment files, both electronic and hard copy, with up-to-date information regarding the history, use, and financial information of the funds
Ensure routine and special donor stewardship activities are implemented and integrated into overall fundraising cycle, such as sending thank you cards and other communications via phone and email
Respond to donor questions and provide information and materials as requested
Enter information into the donor database to track cultivation and stewardship activities
Writing and Communications (5%)
Assists with production of the AoH Annual Report in coordination with the Director of Advocacy and Communications
Compiles annual Honor Roll of Contributors
Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and
Excellent interpersonal, organizational, writing, proofreading, presentation, and administrative
2+ years of professional experience in fundraising, public relations, and/or customer service, preferably in an entrepreneurial nonprofit
Experience in manipulating data and producing reports from Donor Perfect, or other CRM
Knowledge of PC operation with familiarity with Microsoft office, Google Suite, and presentation software packages.
Pre-existing knowledge of and experience working with the local philanthropic community
Knowledge of development best practices, as outlined by Association of Fundraising Professionals (AFP) preferred.
