The Lawyer Services Department of the State Bar of Michigan is looking for qualified candidates for a Member Services and Events Coordinator. This position provides support and customer service to members, including assisting in all aspects of planning, coordinating and implementing special events, meetings and conventions; responding to incoming membership calls, emails, requests and complaints; daily processing of orders for certificates of good standing; and providing information on the organization and its services to State Bar members needing assistance. Essential duties and responsibilities include: • Purchasing and inventory management to budget; financial reporting of contracts and royalties • Membership support via high volume calls and email inquiries, providing appropriate and accurate information • Database management • Drafting and distribution of agendas, meeting notices, and meeting notes • Development and maintenance of skills required to use event management software to create an event and ensure it integrates with the SBM database; creation of websites for designated events; creation of invitations, e-blasts and reports for events; maintenance of accurate and up-to-date reports for all event management projects, including tracking and reporting event participation, event summary reports, vendor participation, and event evaluations; coordination and monitoring event timelines to ensure deadlines are met. • Solicitation of quotes for food and beverage selections, arrangements for audio visual service, transportation, travel, entertainment, décor for events, and recommend vendors. • Scheduling workforce for events that includes SBM staff and volunteers. • Monitoring event finances including check requests, invoicing, and reporting. • Coordination of registration logistics for events. • Development of new ideas to improve the event planning and implementation process and coordinate with ITS staff to ensure technical requirements are met.
• Bachelor’s degree preferred. Meeting certification, CGMP or CMP preferred. • Five or more years’ customer service experience; minimum two to four years’ related work experience in meeting and events planning. • Advanced skills in Microsoft Office, Microsoft Teams, Word, Excel, iMIS, Outlook, Adobe Acrobat, and Aventri event planning software a plus. • Ability to work in a fast-paced environment and have superior problem-solving skills. • Ability to travel to offsite locations and venues for events and conferences. • Consistent accuracy (including excellent proofreading skills), thoroughness, timeliness, and reliability in work product. • Effective use of technology to efficiently perform job duties. • Excellent interpersonal and organizational skills. • Excellent written and verbal communication skills. • Ability to meet department standards regarding job knowledge, quality, efficiency, initiative, teamwork, customer service, and overall performance. • This position is temporarily remote.
