Dept Marketing Statement Natural Language Processing (NLP) is a rapidly growing field that provides key capabilities for many areas of Artificial Intelligence. NLP focuses on the development of computer programs that can understand, generate, and learn from human language, and provides algorithms, methods and tools for analyzing both text and speech for such applications as conversational agents, machine translation, question answering, knowledge discovery from text, sentiment analysis, and text summarization. The UCSC Master of Science in Natural Language Processing provides both depth and breadth in core algorithms and methods for NLP, and integrates foundational skills of data science and machine learning in order to prepare program graduates to work in the Natural Language Processing field in industry, governmental agencies or nonprofit organizations.
Under supervision of the NLP Executive Director, the Program Assistant performs a full range of program administrative and logistical support duties. Performance of these tasks requires full knowledge of university policies, and the professional goals of the NLP MS program. Familiarity with NLP, linguistics or AI technologies would be helpful. This position works independently and collaboratively with program staff and instructors to ensure courses run efficiently.
Pay, Benefits, & Work Schedule Salary Information: Salary Range: $25.57/hour - $27.47/hour. Salary commensurate with qualifications and experience.

Job Duties 60% - General Administration
Duties/Responsibilities:
- Provides general administrative support for the program as necessary.
- Responsible for day-to-day logistical and administrative support of program projects and tasks, including; answers academic program inquiries and questions via email, phone, or in-person meetings; directs students to appropriate personnel for assistance.
- Troubleshoots student, instructor, and faculty administrative and logistical problems, and manages requests for services, escalating as necessary to the Executive Director or Program Director.
- Maintains compliance with all training and professional development requirements.
- Maintains familiarity with policies and regulations as well as with objectives of UCSC Silicon Valley Center building, the Baskin School of Engineering and the NLP MS program.
- Prepares routine correspondence with instructors and students.
- Assists in the orientation of new instructors to general UC Santa Cruz policies and procedures, as well as specific policies and procedures for the UCSC Silicon Valley Center.
- Oversees NLP laboratory, working cooperatively with students and custodial staff to ensure lab remains clean, and items in lab are in working order. Coordinates repair by third parties of computers and equipment in laboratory as needed. Coordinates cleaning by third parties of furniture, as needed. Responsible for preparation of laboratory at the end of each year, including oversight of disposal of student property, organizing book collections, and prototyping supplies. Coordinates purchase of new furniture and equipment as needed. Assists in purchasing books, equipment and supplies for the laboratory.
- Provides administrative support for program curriculum planning.
- Provide administrative support for program financial planning. Provide administrative support for requests for increases to professional fees for program.
- Incumbents are responsible for accuracy, completeness, and end products of work, and may assign and check the work of others.
- Performs other duties, as assigned.
40% - Coordination of Logistics, Marketing & Special Needs
Duties/Responsibilities:
- Manages program website and social media presence as directed by the NLP executive director.
- Organizes and attends special events, meetings and projects, and handles the administrative arrangements for special programs and courses, conferences, meetings, job fairs and symposia, as requested. May include some evening and weekend work related to attending events. May involve travel to events. Delivers and displays promotional materials, brochures, catalogs, and event supplies at public events. May involve multiple logistical aspects, including space rental, catering, event registration, speaker travel arrangements, staffing registration tables at events, and audio/visual.
- Prepares equipment, technical support, and work order requests; coordinates with the operations and ITS teams to ensure room setup, classroom and event supplies, and technical support requirements are met.
- Prepares travel arrangements for program-related travel by students and staff of the NLP MS program, including, as needed, transportation, hotel, and parking arrangements, as well as itinerary planning.
- Prepares travel reimbursement paperwork and supplies reimbursement paperwork for NLP MS staff and students.
- Organizes and attends the graduation ceremony and associated presentations for the NLP MS program. Arranges travel for graduation speakers, as needed.
- Performs various marketing tasks to publicize programs including telemarketing, distributing announcements, and addressing/mailing brochures.
Required Qualifications
- Strong interpersonal skills, including tact, diplomacy and flexibility to work effectively with students, staff, instructors, and the general department, with the ability to maintain composure in complex and stressful situations
- Ability to plan, organize and carry out special events with attendees ranging from 10-200.
- Excellent listening, writing and verbal communication skills including excellent knowledge of grammar, sentence structure and punctuation.
- Related experience including the ability to schedule, promote, and implement planning for short- and long-term program planning and functions.
- High level of computer skills with demonstrated experience using student information systems (or other relational database system), programs included in Google Docs and Microsoft Office.
