The Director of Meetings & Education is responsible for the overall direction of APRO’s education and meetings programs. This includes the overall strategy of APRO’s education initiatives, meetings management and logistics, exhibit and sponsorship relations, and budget management in collaboration with the Executive Director and staff. APRO convenes meetings throughout the year to facilitate the leadership activities of our Board, chapters, committees, and other stakeholders. The Director oversees and manages these meetings along with related diverse vendor relationships.
The Director ensures APRO’s mission is reflected in all related activities, understands the unique culture of APRO, and is responsible for developing and maintaining positive relationships with other organizations that are consistent with, and advance the interests of APRO and its stakeholders.
Education Programs • Provide project management for virtual and in-person educational programs • Write and develop quarterly and annual reports • Manage online learning and tools, and evaluation and research tools
Meetings & Conventions • Administer site selection and contracts processes • Manage program planning, project coordination and timelines • Oversee meeting logistics and onsite management • Conduct regular maintenance of historical records • Prepare ongoing updates, budgets and reports
Exhibits & Sponsors • Oversee sponsorship benefits management and reporting • Coordinate Exhibit Hall functions and activity • Manage Exhibitor & Sponsor communication and relationship management
Procurement & Budgeting • Develop Requests for Proposals, create summaries of proposals and present recommendations to the Executive Director • Evaluate proposals for cost efficiency and quality • Work with staff and Executive Director on budget preparation • Administer and manage approved budget for overall department expenditures, including reviewing and reconciling invoices, monitoring expenses, and taking corrective action to meet financial goals
State Chapter Services & Events • Strategize with Executive Director to determine the key deliverables and design of chapter education for launch of new chapter program • Develop, manage and support chapter education and training programs to facilitate the professional growth of each state chapter • Manage relations with state presidents to support, strengthen, and coordinate with chapters • Manage meeting logistics associated with state chapters • Establish and monitor a centralized chapter communication strategy and plan • Identify opportunities to increase chapter services profitability and success
General • Ensure education and meetings goals are met • Oversee APRO staff travel, ensuring travel policies are followed • Collaborate with APRO staff to ensure effective promotion and branding of APRO programs and services • Direct the development of education and meetings-related content • Identify new services and member benefits ideas • Develop and document processes and provide a consistent flow of information to stakeholders and APRO staff for education programs, meeting planning, and state chapter services • Evaluate new technologies that further enhance the effectiveness of the meetings and education departments
Successful candidates must have a bachelor’s degree. Preference will be given to candidates with CAE or CMP credential and experience in education programs, chapter relations and/or association management. Successful candidates should possess exceptional written and verbal communication skills, budgeting skills with demonstrated success in meeting budget goals, and a commitment to use data to make strategic recommendations for the organization.
Experience with Association Management Systems (AMS) or Customer Relationship Management systems (CRM) and proficiency in Microsoft Office suite (i.e. Word, Excel, Outlook, etc) is preferred. Experience using MailChimp, Constant Contact or similar email marketing solution is a plus. Candidates must be comfortable with quickly changing priorities, virtual work environments and dealing with ambiguity. Finally, experience with building successful relationships with staff colleagues in a fast-paced and collaborative environment is critical.
