The Grants Manager is responsible for providing management and coordination of the grants portfolio pre- and post- award. This position is responsible for coordinating the application process, grant kickoff and close out periods, and monthly monitoring for progress across fiscal, compliance, programmatic deliverables, communications, and operational aspects of grants. This coordination and support will extend to SHW’s contractors and subcontractors to ensure all named entities meet and/or exceed SHW’s contract requirements. The Grants Administrator will execute complex duties with a high degree of independence and as part of a diverse team.
Maintain database and files for all grants, agreements, contracts, and subcontracts, including reporting requirements and renewal deadlines
Train and coach internal and external key personnel on how to effectively manage grants, including their fiscal and programmatic reporting requirements, scope of services, terms, and other related-activities, specific to each grant, as needed
Participate in development of policies, procedures, tools, and communications for grant administration
Coordinate and participate in all external funder audits, including preparation of pre-review materials and outcome / benchmark reports
Oversee both external and internal funder reports as needed in preparation for timely and accurate submission
Attend funder meetings, as needed
Contracts/Grants Execution and Compliance:
Review all awarded grants and contracts and support implementation for the full grant lifecycle
Take a lead role in contract execution for new and renewal grants / contracts
Coordinate planning meetings, fiscal budget set up, agreement development, assembling appropriate staffing, and communications with key internal and external partners
Maintain all records on contract continuous quality improvement reporting and/or corrective action plans as it related to such contracts
Coordinate with SHW Directors/Managers to oversee contractual requirements (services and outcomes)
Coordinate with SHW staff to obtain data for all new and renewal grants as well as for other development projects, as needed
Assist SHW in completion and submission of all portions of grant reports, quarterly monitoring and annual performance reports per individual funder requirements
Other projects and duties as assigned.
Bachelor’s Degree required with a minimum of 5 years of experience in state and federal grant management including procurement and subrecipient monitoring or contract law. Master’s Degree preferred.
Strong relationship builder with experience collaborating successfully with a broad and diverse range of individuals and communities desired.
Highly motivated, creative problem solver and systems thinker.
Working knowledge of nonprofit business operations and federal/ state grant and contract funding mechanisms and compliance.
Project a professional demeanor and exercises mature judgment
Broad base of relevant technical knowledge and problem-solving skills related to financial management.
Strong organization skills, ability to coordinate and complete multiple tasks simultaneously, and work under deadlines.
Excellent written and verbal communication skills, including telephone communication.
Demonstrated ability to work independently and in teams, and maintain professional working relationships with organizational staff and partners.
Strong computer skills including spreadsheets (Excel, Google spreadsheets, etc), presentation software (Powerpoint, Keynote) and office suites (e.g. Microsoft office, G Suite)
