The Financial Coordinator will initiate and process the daily financial transactions on behalf of the external relations department and provide support to the Finance Office for the Lilly Family School of Philanthropy as needed. The position will collaborate between the two departments, and have a secondary reporting line to the Director of Finance. This position will be cross-trained with the financial office to insure adequate backup support is provided to external relations in this position's absence and to enable this position to assist the finance office during periods when additional support is deemed necessary. Duties will include but are not limited to filing, copying and various other duties associated with the financial office. Review, analyze and reconcile external relations monthly account operating statements and work with the Director and staff of external relations to develop recommendations on strategy for maximizing external relations financial opportunities. Coordinate with the Director of Finance on the dissemination of financial reports and budgets to the Assistant Dean for External Relations, in a format that is easily understood. This position will also lead and coordinate the external relations annual budget development process. Responsible for initiating and tracking all financial transactions for external relations including accounts receivable, accounts payables, purchasing equipment, initiate and coordinate travel arrangements according to University travel policies and procedures.
Coordinates schedules for all courses that have been completed for The Fund Raising School and communicating upcoming pay schedules for adjunct faculty employees, regular faculty and staff, and contractors on a monthly basis. Responsible for invoicing all contract programs for The Fund Raising School and collecting invoiced amounts.
High school diploma or GED and two years of related experience.
Knowledge of Microsoft Office spreadsheet applications. Filing experience. Strong interpersonal and communication skills. Adept at providing prompt and personable customer service to course participants, adjunct faculty, vendors, and other external stakeholders. Well organized and pays close attention to details. Ability to handle many and varied tasks at a time. Ability to handle extremely confidential information and to work independently and interdependently, Ability to bring projects to closure. Ability to set priorities.
College education. Knowledge of university financial, travel and payroll systems. Accounting or finance, and Indiana University experience, as well as experience with a large state or government organization.
